PURPOSE:

Under the general supervision of the Assistant Director of Student Services at the Campus Service Center (CSC), the Campus Services Center Specialist provides customer service and coordinates a variety of administrative processes for the customers the customers of the Student Financials, and Student Affairs and Enrollment Services Divisions. The Campus Services Center Specialist is a front-line position assisting a steady stream of customers, current/prospective students, staff, faculty, parents, and community members.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
  • Provides information and assists current/prospective students, student supporters, faculty and staff regarding student fees, payment information, and other services from Student Financials, Student Affairs and Enrollment Services, and the University in general. Interprets, applies and explains State and University policies and procedures to students, external agencies and the general public. Explains account issues to students, faculty and staff. Addresses and resolves a wide range of common and unique problems using reasoning and judgment. Develops practical, thorough and creative solutions requiring in-depth knowledge of the University and pertinent regulations, processes and structures.
  • Performs general cashiering duties including processing a high volume of tuition related transactions; ensures student registration eligibility and calculates fees and tuition. Receives payments and insures compliance with internal control procedures and reconciles accurately on a daily basis. Maintains files and records.
  • Meets with students and/or parents to resolve financial, course registration, and Admissions & Records holds, using in-depth knowledge of the various hold programs and processes. Maintains confidentiality as outlined in the Department of Education's Family Educational Rights and Privacy and California's Educational Code Chapter 13 regarding sensitive student issues.
  • Produces ID Cards and assists CSUMB students, staff, and faculty with building access and meal plan issues relating to the ID card production.

Other Functions:

Performs other job-related duties and special projects as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

Must be fully functional in all technical aspects of work assignments. Comprehensive and detailed knowledge of applicable university infrastructure, policies and procedures. Thorough mastery of English grammar, spelling, punctuation and editing. Working knowledge of budget policies and procedures. Expertise in using office software packages, technology, and systems.

Ability to: use a broad range of technology, systems and packages; independently handle multiple work unit priorities and projects; apply independently a wide variety of policies and procedures where specific guidelines may not exist; perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections; draft and compose correspondence and standard reports; handle effectively a broad range of interpersonal contacts, including those at a higher level and those sensitive in nature.

MINIMUM QUALIFICATIONS:

Entry to this classification requires fundamental written and oral communication skills, including a sound foundation in English grammar, spelling, and punctuation; an ability to understand standard office procedures; an ability to operate standard office equipment; an ability to learn office technology systems; an ability to perform basic mathematical calculations; and typing and keyboard skills. These entry qualifications would normally be obtained through completion of a high school program or its equivalent and some experience in an office environment.

SPECIALIZED SKILLS:

Must be proficient in personal computers, and fluent in using standard office software packages with a high degree of proficiency in spreadsheets/Excel. Ability to establish and maintain cooperative working relationships within a multicultural and diverse community using respect and effective interpersonal skills; and take proactive and positive measures to ensure optimal support of the office. Demonstrated competence in effectively presenting standard information in writing; and in understanding, interpreting, and communicating procedures, policies, information, ideas and instructions. Demonstrated accuracy, attention to detail, and adherence to deadlines in complex and multi-step projects.

PREFERRED QUALIFICATIONS:

Thorough working knowledge of CSUMB, particularly matriculation and degree information. Specialized training in administrative/clerical support. Equivalent to four years of general office clerical work experience under supervision which has involved supporting, monitoring, coordinating clerical work through a system of internal procedures and internal controls to ensure the efficient operation of an organization and demonstrated knowledge and abilities. Knowledge of and experience with Microsoft Word, Excel, PeopleSoft (student records and accounts), CashNet (cashiering system), CBORD (declining balance system), Oracle/PeopleSoft, CSU Common Management System or equivalent student/finance information system; Microsoft Office Professional Suite, and Google mail and calendaring programs.

Bilingual desired.

    PHYSICAL ENVIRONMENT:

    Office environment with standard equipment and tasks. Position requires working at a computer and desk for extended periods of time. May require travel between campus offices and off-campus locations.
