Job Summary:

The Administrative Operations Manager is an integral member of the Department of Surgery Administration team and works with a variety of stakeholders throughout the Department, School of Medicine and Public Health, and UW Health. A key responsibility is leading and collaborating with our outstanding team of Administrative Assistants. The Manager is responsible for identifying training needs for our Administrative Assistants, promoting a collaborative and inclusive culture, leading the hiring and onboarding of new Administrative Assistants, partnering with Department services (Finance, HR, Clinical Services, etc.) to identify opportunities for process improvement, leading through change, and ensuring communication across the administrative team and with leadership and other stakeholders. The Administrative Operations Manager is also responsible for contributing to various Department Administration work and activities.

Responsibilities:

Manages a program and/or programmatic activities. Initiates, develops, and implements operational services that support a defined project, program, work unit, or function to advance program goals and objectives. May supervise staff and/or approve unit expenditures.
  • 25% Plans, implements, executes, and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement
  • 25% Identifies workflow needs, contributes to the development of strategic and operational solutions, allocates resources, and implements new or revised unit operational policies and procedures
  • 25% May exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 FTE or equivalent employees
  • 10% Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications
  • 5% Leads the development and preparation of periodic reports and financial statements, and records progress, status, or other special reports for leadership or external agencies
  • 10% Contributes to various Department-level Administration initiatives, leads various committees and activities as needed, and provides support for various administration operational needs.

Qualifications:

Required Qualifications:
- Minimum of 7 years of work experience in an administrative professional or Executive Assistant role
- Experience managing at least 1 employee
- Demonstrated experience managing process improvement or change management initiatives

Preferred candidates will have experience in any of the following areas: working in a medical or academic medicine setting, managing complex schedules, managing teams, providing support to executive leadership, and a deep appreciation for providing outstanding customer service to a variety of constituents.

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
