Salary for Announcement

The salary range for this position is $45,300 – $56,700. The salary of the finalist selected for this role will be set based upon a variety of factors, including but not limited to, internal equity, education, experience, specialty and training.

The above salary ranges represent the University’s good faith and reasonable estimate of the ranges of possible compensation at the time of posting. MSU Denver offers a full benefits package.

Position Summary

This Office Manager position will support the academic programs and business operations of the School of Hospitality (SoH) under the general supervision of the dean. The office manager is responsible for leading the efficiency of day-to-day operations of the office and supporting the work of management, staff, and faculty. The position supervises student workers and fields requests pertaining to office functions.

The SoH is particularly interested in applicants who have experience working with students from diverse backgrounds and has a demonstrated commitment to improving access to higher education for under-represented groups. Specifically demonstrated commitment to mentoring and supporting students from a wide range of experiences and backgrounds including, but not limited to traditional, first generation, BIPOC, LGBTQ+, Latinx, adult, military, second career, second chance, concurrent high school/ college students, and students with mental health, learning and/or physical differences.

Duties/Responsibilities

60% Office Management & Administrative Support
  • Manages the reception of visitors and callers and maintains adequate front desk coverage. This includes conducting initial assessment of visitor/caller needs, making appropriate referrals, resolving issues, answering questions regarding policies and procedures, and managing walk-in appointments and callers
  • Maintains office efficiency by planning and implementing office systems such as textbook requests, faculty needs, valet voucher and facility maintenance work order requests
  • Purchases/procures office supplies and equipment within guidelines created by Fiscal Manager; creates and maintains departmental inventory systems
  • Provides support for events hosted by the SoH
  • Supports the Communication Specialist in external communication including maintaining listservs and managing external marketing collateral
  • Works collaboratively with department chair to establish and record course schedule in both Banner and Microsoft Office
  • Maintains access matrices; works closely with AHEC and MSU Denver Facilities for access and approval
  • Onboards new faculty, staff, and student employees with technology, computer access, office needs, etc. as appropriate
  • Creates and manages policy and procedure manuals.
  • Serves as Emergency Preparedness Coordinator; attends necessary workshops and seminars to effectively instruct the SoH team on emergency response information; maintains emergency contact lists
20% Leadership Support
  • Manages the calendar for SoH leadership, liaising appropriately with internal and external colleagues and stakeholders
  • Schedules recurring and ad hoc meetings and/or events on behalf of leadership; distributes agendas, verifies attendance, and communicates appropriately
  • Prepares materials for meetings and events as needed
  • Attends SoH meetings; takes accurate notes/minutes for distribution
  • Supports the leadership with internal communication initiatives including organizational charts and communication listservs
  • Supports leadership in organizing annual reports
  • Assists with leadership logistics of travel and off-campus meetings/events
15% Student Employee Supervision
  • Recruits, hires, onboards, trains, supervises, and evaluates student staff members to assist with reception and project duties in the SoH. This position serves as the direct supervisor of student employees
5% Related Other Duties
  • Participates in training and relevant professional development activities to support professional and departmental growth. Works to operationalize and integrate learning from these trainings into the work unit and work processes
  • Other duties as assigned
Required Qualifications
  • High School diploma or equivalent ( GED )
  • 2-years’ experience in an administrative role
  • Ability to effectively communicate professionally (error free and able to clearly articulate ideas in a written format)
  • 1-year supervisory experience (task management over staff including hiring, training, and performance management)
  • Detail oriented with strong organizational planning and multi-tasking skills

Preferred Qualifications

Preference will be given to candidates with experience in the following areas:
  • Bachelor’s degree from an accredited institution of higher education – Or the equivalent combination of education and experience providing administrative support is required (one year of education is equivalent to two years of experience).
  • Experience working within higher education
  • Experience working with professional staff and leadership at all levels of an organization.
  • Knowledge of specific technical or operational systems; Banner, Microsoft Office 365, student information databases, expense reporting software
  • Experience in taking initiative and executing projects timely with minimal supervision
  • Experience working with diverse and urban populations, including but not limited to communities of color, under-represented groups, LGBTQIA+, first-generation, undocumented, veterans, etc.
Work Hours

Typically, Monday – Friday, 8 am – 5 pm.
Limited alternative work schedule may be considered, depending upon needs of the office and the academic calendar.
