Position Summary:

Under the direction of the Vice President Training and Development the Program Coordinator provides support for all Training and Development team activities, including student support. Answers departmental phone lines and responds to requests for information for prospective students and the public via telephone, mail and internet and in person. Provides information about training and development programs, processes and services, events and provides follow-up on inquiries. This position provides administrative support for all WES Training and Development activities ensuring registration systems are current, students can efficiently register for courses, receive transcripts, and obtain certificates. Uses identified technology platforms to document communication with students and internal / external stakeholders. This position ensures third party, student and organizational invoicing for services is completed in a timely manner and that invoices WES Training and Development receive from third party vendors are processed on time, with fees passed along to other entities as required. Resolves problems as they occur and responds to student and organizational inquiries requiring substantive knowledge of college policies and procedures. Supports department on special projects as assigned. The Vice President, Workforce Education Solutions Training and Development provides general oversight concerning objectives and projects for this position and completes an annual evaluation of position.

Essential Functions:
  • Answers departmental phone lines and responds to requests for information for prospective students and the public via telephone, mail and internet and in person.
  • Provides information about training and development programs, processes and services, events and provides follow-up on inquiries.
  • Resolves problems as they occur and responds to student and organizational inquiries requiring substantive knowledge of college policies and procedures.
  • Coordinates program activities leading to the accomplishment of program objectives.
  • Maintains registration systems internally and with third party vendors and manages student registrations, ensuring registration flows to access to the correct learning management system, internally or externally.
  • Coordinates activities with Workforce and ETPL programs.
  • Coordinates services with and refers students to other college programs and to community support agencies.
  • Prepares reports, evaluations, proposals and other documents necessary for funding and successful operation of the program.
  • Monitors application process and enrollment to ensure viability of programs, providing data/analytics to leadership as required.
  • Uses CRM OnDemand, RightNow, and/or other identified technology platforms to interact with students with questions or requests related to WES Training and Development programs. Documents communication with students and routes calls/emails/communication to other departments as warranted.
  • Assembles invoice packets for third party payment program related to third party vendor.
  • Ensures student registration and completion information is updated when students complete their online programs.

Requirements:

Education & Experience:
  • Associate of bachelor’s degree in a business, education, or related discipline.
  • Three (3) years of professional experience in student support, human services or social services experience.
Technical / Functional Skills:
  • Program coordination principles, including work organization, budgetary principles, practices and administration.
  • Proficiency in Microsoft Excel, Word and PowerPoint and ability to adapt to new technology platforms.
  • Ability to maintain accurate records, files and databases.

  • Exceptional interpersonal, organizational, and problem-solving skills as well as effective written and verbal communications.
  • Requires the ability to plan, prioritize, and assign work in order to meet yearly plans, academic calendars, schedules, and timelines.

  • Coordinate multiple projects, set priorities and meet critical deadlines.
  • Build and maintain effective relationships with team members and internal/external stakeholders.
  • Ability to problem solve, multi-task, prioritize and maintain excellent customer services while remaining flexible in a dynamic work environment subject to constant change.
