Job Description

The Academic Program Coordinator Intermediate position coordinates activities related to admissions, recruitment and enrollment. The Academic Program Coordinator will also be responsible for program reporting for accreditation, financial support, scheduling and will provide general support to the Department of Social Work. This position will work closely with the department chair to develop and implement departmental processes and procedures.

Program Support - 35%
  • In collaboration with the department chair, implement effective and efficient administrative and operational procedures for the Department of Social Work.
  • Prepare, analyze, and maintain operation statistics, reports, evaluations, and surveys.
  • Obtain instructional equipment and supplies including working with inventory and vendors.
  • Assist faculty and staff with hiring processes.
  • Assist in evaluating program effectiveness for accreditation processes.
  • Coordinate course scheduling and department activities calendar.
  • Program liaison to the Registrar's office, financial aid, and other NAU departments.

Admissions and Recruitment - 15%
  • Oversees student recruitment processes related to program website information, marketing processes, presentations, and student fairs.
  • Acts as a liaison for department to potential or current students, staff, faculty, or external stakeholders or constituents.
  • Ensures department compliance with all applicable university, state, federal, or other laws, rules, regulations, and guidelines.
  • Maintains records of program data, which may include inputting or updating data in a database.

Financial Support - 15%
  • Initiates purchases via finance team service tickets or using Purchase Card (PCard).
  • Uploads receipts, provides public purpose, and verifies all PCard transactions.
  • Prepares required financial support forms such as food forms, guest lecturer, etc.
  • Collaborates as needed with finance team for appropriate speedcharts/account codes.
  • Collaborates with finance team/Chair regarding department budgets/forecasting/monthly meetings and anticipated expenses/revenue.
  • Submits requests to finance team for journal transfers (IDT/IPT), position funding changes and vacant position requests.
  • Submits requests to finance team for financial reports as needed from ERS reporting (state/local/grant).

Event Planning and Coordination - 15%
  • Responsible for event coordination in relation to the Department of Social Work. Including but not limited to:
    • Orientations
    • Interviews
    • Field Education Events
    • Graduation Events

Staff Support - 15%
  • Provides guidance and support to staff and faculty of the department.
  • May supervise student employees or temporary employees.

Other - 5%
  • Other duties as assigned.


Minimum Qualifications

  • Bachelor's degree in related field.
  • 2 - 4 years of relevant experience.
  • Any combination of related education, experience and training may be used as an equivalent to the above Minimum Requirements.


Preferred Qualifications

  • Experience with program administration.
  • Experience with budget management.
  • Demonstrated ability to work collaboratively with different constituencies e.g. administrators, faculty, staff and students.
  • Master's degree in related field.

  • Knowledge of office and administrative practices and principles.
  • Knowledge and skill in accounting and budgeting procedures and techniques.
  • Knowledge and related university experience dealing with area of assignment.
  • Skill in the use of personal computers and software.
  • Skill in program development and execution.
  • Skill in coordinating activities, evaluating data, and establishing priorities.
  • Excellent supervisory, organizational and training skills.
  • Excellent communication and presentation skills.
  • Ability to analyze problems and make well-reasoned, sound decisions.
  • The ability to work effectively with people from a variety of culturally diverse backgrounds.


Background Information

Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. You may also be required to complete a fingerprint background check. Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States. Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

Salary range begins at $41,421. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. More information on benefits at NAU is available on the Human Resources benefits website. Classified Staff employees are in a probationary status for their first six months at NAU. NAU is a tobacco and smoke-free campus. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. Additionally, new employees will begin participating in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, on the first of the pay period following 6 months after the new employee's start date.
