The College of Engineering & Applied Science at the University of Wisconsin-Milwaukee invites applications for a Financial Specialist II position working in the Office of the Business Affairs Director in the College of Engineering & Applied Science, University of Wisconsin-Milwaukee.

The College of Engineering & Applied Science (CEAS) is committed to excellence in scholarly research and teaching across all seven departments—Biomedical Engineering, Civil and Environmental Engineering, Computer Science, Electrical Engineering, Industrial and Manufacturing Engineering, Materials Science and Engineering, and Mechanical Engineering. Job Summary
Primarily reviews, approves, and advises on a variety of advanced financial and purchasing transactions. May prepare some financial and purchasing transactions and reconciles transactions. Recommends controls and process improvements, troubleshoots advanced financial errors. Maintains financial and purchasing records, provides administrative processing support, and provides customer service for staff and customers in an assigned program area to support program financial and purchasing management.

Duties for this person include but are not limited to:
  • Assisting CEAS Accountant III with NSPTs (non-salary payment transfers), payroll direct retros and other account transfers
  • Track departmental service and supply budgets and expenses
  • Act as the CEAS liaison with Purchasing
  • Utilize ShopUW+ for procuring services, supplies and equipment
  • Ensure UWM procurement policies and procedures are followed for RFP's, RFB's, PIR's and ASSA's.
  • Train CEAS faculty and staff on ShopUW+
  • Be primary point of contact for all departmental spending questions.
  • Determining state purchasing restrictions or mandatory contracts
  • Perform all departmental and tuition differential purchases (ACDT - $500k+ annually)
  • Assisting with research purchasing
  • Approving purchasing requests (Approver Level 1 in ShopUW+)
  • Recreating purchase orders at end of fiscal year.
  • Coordinating accounts payable: PIRs, ASSAs, Direct Pays, Approval of invoices to be in paid off Pos
  • Act as the departmental liaison with Accounts Payable, students and general public by providing departmental information as requested, answering questions, reviewing records and documents related to purchasing, ensuring compliance with all UWM policies and procedures
  • Manage P-card purchasing including transferring accounts as needed along with preparing and auditing P-Card reports and approval processes. Act as main contact for CEAS faculty and staff regarding P-Card processes and procedures, Training, reconciling, and auditing statements, performing expense transfers, and ensuring P-Card compliance with all UWM policies and procedures.
  • As directed, prepare and audit budget-related work (tuition differential, Supplies & Expenses, and other department budgets)
  • Act as liaison for CEAS faculty and staff regarding travel training, procedures, TMEA's, E-Reimbursement, Concur and other travel related issues
  • Assist with CEAS reception office duties, filling in to cover office hours as needed


Minimum Qualifications
  • Minimum of 2 years’ experience in an administrative/office work role
  • Proficient in Microsoft Office suite (ex: Outlook, Word, Excel, Teams)
  • Evidence of excellent written communication skills


Preferred Qualifications
  • Evidence of experience in support of academic programs
  • Demonstrated ability to follow policies and procedures
  • Experience in working with UW System enterprise systems (WISER, Shop UW+)
