Position Summary

SENIOR ADMINISTRATIVE ASSISTANT

Primary Responsibilities

  • Provides comprehensive administrative support to the Director of Human Resources, including scheduling and managing appointments and screening correspondence
  • Supervises department front desk customer service function, including student staffing
  • Greets department visitors, callers, and guests in a professional manner while providing basic human resources customer service to customers
  • Ensures both legal and procedural compliance in coordinating and processing requests for Family and Medical Leave Act (FMLA) benefits and other leave requests
  • Processes all electronic and paper employment verifications
  • Coordinates department file storage, copier/printer maintenance, document scanning, shredding, and scheduling of meetings and rooms
  • Monitors and reconciles multiple department budgets, including tracking and forecasting of expenditures, processing of department purchase orders and invoices for payment as well as department supply orders
  • Updates and maintains department website
  • Manages electronic recordkeeping, email and communications
  • Manages hardware, software and supplies inventory for the department
  • Provides department administrative support as needed and assigned by the Director


  • Required Qualifications

  • High school diploma or GED
  • Demonstrated effective administrative skills, including effective interpersonal, verbal and written communication skills
  • Ability to handle sensitive and confidential information
  • Bookkeeping experience or evidence of math skills
  • Demonstrated ability to work professionally with all levels of the organization
  • Demonstrated ability to exercise sound judgment and handle situations with sensitivity, tact and in a confidential manner
  • Previous experience indicates a high degree of accuracy and attention to detail
  • Evidence of proficiency in the use of Microsoft Office Word, Excel and Access
  • Excellent organizational and time management skills
  • Ability to work independently with minimal supervision
  • Ability to handle multiple tasks with frequent interruptions
  • Demonstrated experience and understanding of customer service
  • Demonstrated commitment to a diverse work environment, including working with multi-cultural populations and an understanding of, and sensitivity to, issues affecting women and minorities
