Position Purpose

The Program Assistant serves as a member of a specific House Leadership Team for the House communities at Dartmouth to provide comprehensive program support to the House including planning, promotion, management, and assessment of House events and activities. In the House Center, the Program Assistant provides a welcoming atmosphere and manages day-to-day logistics.

This is an onsite position, located in one of the shared House Centers.

Bachelors or equivalent combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities

· 2 years of administrative experience, with autonomy.
· Demonstrated commitment to personal and departmental integrity, creativity, collaboration, initiative, multicultural education, and professionalism.
· Strong organizational, event management and problem-solving skills.
· Proficiency with the Microsoft Suite, Google tools, and with social media.
· Excellent communication, collaboration, listening and interpersonal skills.
· Ability to exercise discretion and maintain confidentiality.
· Ability to balance competing demands under pressure.
· Ability to work in an open and dynamic office environment with frequent interruptions and shared workspace.
· Ability to attend night and weekend events on occasion, and to adapt personal and professional schedule to the College’s year-round calendar.
· Demonstrated ability to foster positive and productive relationships with all campus constituencies, including institutional leaders, faculty, staff, students, and parents and families.
· Demonstrated cultural competence; commitment to diversity and proven effectiveness in serving the needs of a diverse undergraduate student population.

Preferred Qualifications

· Experience in Higher Education preferred.
· Prior experience working/supervising students preferred.

Description

House Communities Program Support – 85%
  • In consultation with the House Professors and Assistant Directors of Residential Education and others, plans and develops programs furthering the House mission and goals.
  • With minimal supervision, coordinates event schedules and all logistical details for event management as assigned.
  • Updates email lists of House members, House residents, and affiliated faculty and staff, House alumni, and others who are interested in hearing about House events.
  • Drafts and edits related correspondence, newsletters, and reports for the House Professors, Assistant Directors, and other members of the House leadership teams.
  • Manages office supplies, facilities work orders, etc. for the shared House Center.
  • Ensures timely submission of receipts, reimbursements, invoices and other transactions, and assists House Leadership in budget management.
  • May hire, train and supervise student(s) to support House programs. House Communities and House Center.

House Communities Collaboration – 15%
  • Serves as liaison to other campus centers, programs and departments to coordinate event scheduling and activities.
  • Collaborates with leadership teams and students from other Houses to facilitate activities and events, and to ensure consistent approaches in the House Communities across campus.
  • Maintains House program websites, Google (or similar) program calendar, and social media sites or other online marketing tools for the Houses, and for publicity and outreach purposes.
  • Contributes to continuous program and event assessment by preparing student surveys and, in coordination with the House Professors and Assistant Directors, collecting and maintaining records of student attendance at all programs related to the Houses.
  • Researches and prepares presentation information on House guests and activities.
  • Represents the Houses effectively to affiliated House students, alumni, faculty, and staff, and to other campus community members and prospective students. Demonstrates a commitment to diversity, inclusion, and cultural awareness through actions, interactions, and communications with others.
