Located in Greater Boston, MassBay is a comprehensive, open-access community college offering associate degrees and certificate programs on three campuses in Wellesley Hills, Framingham, and Ashland, Massachusetts.
Position Summary:
The ideal candidate will join a vibrant and inclusive educational community, and have a desire and ability to work with a diverse population. This position will provide administrative services supporting student accounts and enrollment services functions, performing Enrollment Services and/or Student Account transactions. The Enrollment Service Specialist will also review and analyze data, prepare reports, respond to inquiries, compile data and assist students, potential students, faculty, staff and the general public.
Key Responsibilities and Duties:
  • Provide front-line customer service for both internal and external college constituents;
  • Process student payments;
  • Assist with the general registration process, including early registration and special registrations on evenings and weekends;
  • Process and document all communications to applicants in person, via telephone, fax, e-mail, and/or post;
  • Respond to inquiries regarding degree and course offerings, schedules, and enrollments;
  • Monitor and maintain the confidentiality of student records;
  • Enter and update student information and course schedules in computer database(s); produce lists and reports as required; analyze data for accuracy and logic; assist in monitoring information systems functions and processes;
  • Cross-train on Enrollment Services procedures, such as admissions, student accounts, and registration;
  • Assist in the training of other staff;
  • Assist with student outreach regarding health insurance, student refunds, outstanding balances and other projects as needed.

Required Qualifications:

Applicants must have at least (A) four years of full-time, or equivalent part-time, experience in office work, of which (B) at least one year must have been in a supervisory or administrative capacity, or (C) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required (A) experience.*
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required (A) experience.*
III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required (A) experience.*
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required (A) experience.*
*Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
NOTE: Educational substitutions will only be permitted for a maximum of two years of the required (A) experience. No substitutions will be permitted for the required (B) experience.

  • Must be personable with a professional approach to customer service and a demonstrated ability to multi-task with efficiency and attention to detail;
  • High-level keyboarding and computer skills are required;
  • Ability to work collaboratively and exercise good judgment;
  • Excellent interpersonal, verbal, and written communications skills;
  • Demonstrated experience with computerized office systems, including Microsoft Office applications such as Word, Access, Excel, Outlook, etc.;
  • Ability to multi-task and work effectively in a fast-paced environment, independently and with a team;
  • Flexibility to work occasional evenings and weekends;
  • Functional experience with PeopleSoft desired;
  • Ability to respond to difficult situations diplomatically;
  • Knowledge of (FERPA) Family Educational Rights and Privacy Act; Understanding of higher ed policies and procedures; especially involving student accounts, financial aid, and registration.

Additional Information:

Salary Range: AFSCME Unit I, Grade 15 Step 1 $47,338.98 annually. Appointments from outside the bargaining unit begin at Step 1 of the range.
