The Registrar is a full-time position responsible for maintaining the academic records of all students, plans and implements the registration process for classes, and provides institutional vision and leadership in implementing and maintaining academic standards, policies and procedures related to all student registration activities. Other responsibilities include keeping records of all college classes and curriculum prerequisites, determining students' graduation eligibility, planning commencement activities and preparing information such as honors lists, transcripts and class rankings.
Essential Functions:
- Facilitates the movement of students through their programs, ensuring that records are properly kept, class scheduling is completed, and scholarship and grant information is disseminated.
- Develops, interprets and delivers effectively structured academic support services such as admissions, registration, processing of grades, and maintenance of student and course records.
- In charge of verification of student enrollment, certification of graduation, production of transcripts and diplomas.
- Develops and maintains standards and procedures for admissions and records.
- Supervises the evaluation and certification of individual student records related to transfer to other educational institutions, athletic eligibility, and eligibility for benefits from various governmental agencies or programs.
- Manages student record information system; assesses maintenance of student, course and program databases that are used by academic and administrative departments.
- Provides direction in all matters related to the student information system and technology. Gathers; monitors; and analyzes reports and data to inform strategic decisions. Prepares timely and accurate reports as mandated by state and federal agencies.
- Protects the confidentiality of student academic records by enforcing the provisions of the Family Educational Rights and Privacy Act (FERPA).
- Works effectively and display behavior consistent with professional ethics, cultural and socially diverse student population.
- Participates and engage in pertinent meetings and trainings as requested. Performs other related duties as assigned.
- Knowledge and understanding of college organization, goals and objectives, and policies and procedures. Comprehensive knowledge of Federal and State laws and guidelines for admissions and registration issues including FERPA.
- Comprehensive knowledge of State of Florida residency issues and immigration documents. Knowledge and experience with the State of Florida Higher Education Data Reporting System.
- Skill in establishing and maintaining effective working relationships with students, faculty and staff.
- Work collaboratively in the use of integrated software systems. Enterprise Resource Planning (ERPs) such as Ellucian, Banner, Peoplesoft, Jenzabar, Powercampus, etc. and Microsoft Office applications.
- Other essential skills include: Project management, research and development, negotiation skills, service management and counseling.
- Moderate physical activity. Requires handling of average-weight objects up to fifty (50) pounds or standing and/or walking for more than four (4) hours per day.
- Master's degree with three (3) plus years of experience directly related to the duties and responsibilities specified. Knowledge of computer science preferred.
- Must be able to work well with students, faculty, staff and the community.
- Provide guidance for faculty; administrators; staff; and students in all operational areas within the Office of the Registrar with regards to policies and procedures.
- Excellent communications and interpersonal skills. Proofreading skills required.
- Attention to detail and adaptability to a changing environment is extremely important as well as dependability.
