Overview
The International Programs Coordinator covers a wide range of responsibilities that support and coordinate SDSU Global Campus international programs, including the American Language Institute (ALI)-based Intensive English Programs, the Semester at SDSU program, and short-term custom programs. This position advises international students, oversees aspects of international student activities, and contributes to program improvement and problem solving. This position is responsible for carrying out administrative support operations and assisting in accomplishing the administrative objectives of a small to medium-sized organizational unit by personally performing the more difficult and responsible administrative support functions. Assignments and projects are varied and complex with longer work cycles and may require specialized knowledge. Administrative support projects often involve coordinating, prioritizing, and monitoring through their completion with accountability for end results individually and tracking work performed by others.


Responsibilities
The International Programs Coordinator at SDSU Global Campus works under the direction of the Semester at SDSU Program Director and is responsible for program coordination; implements and executes project activities related to promoting the program and its events, and performs a wide variety of administrative and other miscellaneous services as necessary to ensure the smooth daily functioning of programs. The Program Coordinator, at the direction of the Program Director, manages multiple tasks and prioritizes duties, meets deadlines and facilitates the Program’s unique schedules. The International Programs Coordinator has primary responsibility for one program, while also serving in a support capacity for others.

Coordination of Programs 70%
  • Coordinate with Program Director to project program enrollments and plan for delivery of commensurate student support involving budgets, facilities, IT, marketing, planning and scheduling
  • Support students, coordinate with SDSU academic Colleges and departments, SDSU Global Campus departments, faculty, staff and other campus units to resolve issues related to International Programs and to achieve other program improvements
  • Respond to student, partner, staff and faculty inquiries via emails, phone calls, and LiveChat
  • Use Customer Relationship Management (CRM) and other databases to record student inquiries, requests for assistance and associated communications
  • Support program-specific orientation activities, such as orientation preparations, room reservations, coordinate schedules and activities during orientation week, and communication among stakeholders
  • Reserve and coordinate program room assignments with Global Campus Facilities. Assign rooms to meet program schedules, and make changes and updates as necessary
  • Coordinate Audio Visual equipment requests by instructors, other Program Coordinators, and Directors
  • Organize and schedule student information sessions on different topics such as pre-arrival info session, and applying to U.S. universities,
  • Assist Program Director in creating Special Sessions courses for the Semester at SDSU program
  • Create, update, collect and analyze Special Sessions enrollment processes and data
  • Verify prerequisites for Semester at SDSU students per SDSU standards
  • Respond to queries regarding articulation and course selection
  • Process student requests for Verification of Enrollment and other documentation
  • Utilize supplemental data to track demand for courses
  • Hold regular in-person and virtual office hours for student advising
  • Communicate and ensure students are aware of all program, college and SDSU policies
  • Coordinate and support implementation of short-term custom programs

Administrative Support 25%
  • In collaboration with the SDSU Global Campus Marketing department, develop and update international programs promotional and marketing materials
  • Support International Programs social media efforts by collecting and posting content, in coordination with Program Directors, events staff, and the SDSU Global Campus Marketing department
  • Provide support to program directors related to financial matters, including annual recruitment budget planning, recruitment related budgeting, travel requests, purchase orders and expense reports
  • Conduct research, analyze data, prioritize and make recommendations to Program Director to improve efficiency and the effectiveness of programs
  • Order office supplies and maintain office supply inventory
  • Update and maintain International Programs manuals
  • Maintain confidential student and financial files
  • Assist Program Directors in daily tasks including but not limited to correspondence, digital file management, scheduling appointments, and keeping meeting minutes
  • Prepare Certificates for the students to be distributed or picked up
  • Orient new hires and assist with paperwork and procedures as needed in relation to classrooms and administrative tasks

Qualifications
Minimum Qualifications & Education
  • Bachelor's degree and/or equivalent training and administration work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
  • Five years of progressively responsible experience in office or administrative environment

Desired Qualifications & Education
  • One or more years of experience working with CRMs and/or other databases.
  • One or more years of experience in student advising and/or coaching in a university/college setting.
  • Two or more years of program management/coordination experience.
