Job Summary:

The Office of Compliance promotes ethical conduct and compliance with applicable laws, regulations and policies at UW-Madison. Our office provides program oversight for the Americans with Disabilities Act (ADA), Health Insurance Portability and Accountability Act (HIPAA Privacy), Title IX of the Education Amendments, the Wisconsin Public Records Law, and for providing fair and impartial protected class discrimination complaint investigations. We believe compliance is a shared responsibility, with every member of the university community understanding those responsibilities and being accountable for their actions.

This position provides day-to-day administrative and operational support to the Office of Compliance.

Responsibilities:

Provides general administrative support, while exercising discretion, to the administrator of a department or division of the institution or to the administrator of multiple institution programs, services, and activities.
  • 30% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 15% Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
  • 15% Prepares and audits complex records, edits documents, and reviews work done by others
  • 10% Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
  • 10% Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • 5% Maintains and update office and Accessibility@UW websites
  • 15% Supports unit online and in-person training

Qualifications:

At least 1 year of experience in an administrative support role is required.

Successful candidates will have the following:

1. Knowledge of general office practices and procedures.
2. Ability to exercise independent judgment in complex and new situations
3. Adaptability to changing needs and independent problem-solving when issues arise.
4. Ability to work as part of a team.
5. Demonstrated strong work ethic, attention to detail, patience and positive attitude.
6. Ability to quickly learn office and campus processes and consistently and accurately perform
general duties with minimal supervision.
7. Willingness to take initiative to identify and improve processes and procedures.
8. Excellent interpersonal and human relationship skills, including exceptional customer service skills. Ability to use tact, courtesy and discretion in dealing with a variety of individuals.
9. Skilled at managing multiple tasks/responsibilities and meeting strict deadlines in a busy office
setting with numerous interruptions.
10. Production of accurate and detail-oriented work product for compliance activities.
11. Expertise in a variety of computer programs including MS Office Suite (Outlook email and
calendar, Word, Excel, PowerPoint, etc.), Wordpress, Adobe Acrobat, spreadsheets and databases.

Standard UW business hours are 7:45am-4:30pm; some flexibility.
