The Fashion Institute of Technology (FIT), part of the State University of New York and an internationally renowned college of art, design, business and technology with a strong emphasis on liberal arts, invites nominations and applications for a Temporary Administrative Coordinator in the Faculty Development & CET Department.

JOB DESCRIPTION:

Provides administrative support to the Director for Faculty Development/CET for FIT's Faculty Development, and Center for Excellence in Teaching programs. Plans and executes events and large meetings for all unit activities. The administrative coordinator provides a full range of administrative support for grant-funded initiatives anchored in the CET; supervises grant-funded clerical and technical assistants; provides administrative support services for campus-wide, unit sponsored events, as well as university-wide events, such as SUNY conferences and webinars; provides a full range of support for SUNY Chancellor awards; collects information and maintains the unit's electronic files along with institutional assessment data for all faculty development and grant-related activities. Additionally, the administrative coordinator works with the Director to update web-based electronic resources, and prepares materials for the web.

Essential Functions:

  • Budget: Management of the Faculty Development Grants and Awards and the CET budgets; maintains budget records and communicates with the offices of Accounts Payable and Purchasing. Provides updates to the director.
  • Event Coordinator: Working with the Director, designs events, reserves facilities, 20 % orders refreshments, books IT services (e.g., event recording) Invites event participants,
    works as the point person for all unit event RSVPS; records event attendance and provides the director with data for reporting.
  • Faculty Development Grants and Awards: Receives and collates FDGA applications and forwards those to the committee; sends reminder emails to committee and applicants; serves as FDGA recording secretary; with supervision, writes award letters for AA signature; reviews and processes faculty reimbursements and personnel payments; provides FDGA data for reporting; coordinates with FDGA chair when needed.
  • SUNY Chancellor Awards: Updates SUNY Chancellor's Award (SCA) announcements; Receives and preliminarily reviews nominee submissions for the director; Sends
    reminder emails; Provides secretarial/administrative services for SCA process; Locates students to serve on SCA committee; Serves as SCA committee recording secretary;
    Packages and ships/transmits completed Chancellor's Award nominations to Albany.
  • Other Activities: Signs tech aide time-sheets and, with supervision, writes tech aide evaluation report; supervises FWS students when needed. In consultation with the
    director and coordinator, answers faculty questions about CET program. Supplies reporting data for bi-monthly, annual report, grants reports and miscellaneous reporting
    requests.

REQUIREMENTS:

Minimum Qualifications:

  • Bachelor's degree required. 
  • Three (3) years of experience providing administrative support for an academic or an administrative unit (K-12 - higher ed institution).

Knowledge, Skills and Abilities:

  • Knowledge of a variety of digital software programs such as Microsoft Office, and Google products.
  • Detail oriented; methodical; customer service skills.
  • Ability to work in a collaborative environment, under supervision and individually.
  • Ability to learn the use of specific college-related software (e.g. Bi-Tech/Finance Enterprise).

Preferred Qualifications:

  • Experience with event coordination, budget management, all tasks associated with multiple and simultaneous project management and well as unit management.

ADDITIONAL INFORMATION:

Days/Hours: M-F, 9am-5pm, in person; work schedule subject to change based on needs of the department.
Hiring Salary (Prorated): $66,187 per year
