The primary duties of the Assistant Director of Buildings & Grounds include, but are not limited to, project management of new construction capital improvements, general renovations, and historic restorations. The role provides facility operational support in partnering and collaborating with all departments and contractors to help foster a first-class Buildings & Grounds Department operation.

The person in this role serves as Buildings & Grounds department head in the absence of the Director of Building & Grounds and performs responsibilities in accordance with all Bard College and Buildings & Grounds Department policies and procedures.

Essential Duties
  • Project Manager for all capital projects and major repairs, including but not limited to new construction, renovations and historic restorations.
  • Works in partnership with Architects, Engineers, Consultants, Fire Marshals and local Building Officials to develop plans and obtain permits.
  • Develops detailed scopes of work, obtains multiple bids through an RFP and prepares accurate budgets for approval. Ensures all work is performed in accordance to the contract and the intended scope of work with minimal change orders.
  • Establishes and adheres to project schedules utilizing Gant Charts to identify key milestones and critical paths to meet project deliverables on schedule.
  • Reviews and circulates equipment submittals to the project team ensuring that they are within the parameters of campus standards and achieve the long-term environmental goals for the college.
  • Ensures that all finish and material samples are in kind for historical buildings and routes alternates for necessary approval.
  • Obtains surveys as required for any suspected asbestos materials, lead-based paints and any other potentially hazardous conditions before having work performed that could cause exposure.
  • Administers and upholds safety procedures and protocols for all B&G Department and construction projects. Addresses all safety issues on any job site, immediately escalating compliance issues to the appropriate college safety and risk personnel for resolution.
  • Manages the procurement of all necessary furniture, fixtures and equipment for projects ensuring that all necessary items are installed in accordance to B&G Department standards of quality.
  • Performs routine property and project inspections in addition to punch walks, compiling a list of actions for resolution by the contractor or B&G staff within reasonable amount of time.
  • Provides maintenance and repair oversight support with other department managers ensuring that the appearance of the buildings and grounds reflect the highest standards. Escalates important maintenance and safety concerns to the Director of Buildings & Grounds.
  • Manages assigned department personnel adhering to the College and B&G Department policies and procedures. Maintains the job performance and attendance records for the staff under their leadership to maintain consistency and equality.
  • Manages work within approved budgets and addresses any coding or billing discrepancies. Helps develop and prepare cost savings strategies with the Director of Buildings & Grounds.
  • Provides Buildings and Grounds coordination support for events on campus collaborating with the event members to properly facilitate any needs of the department.
  • Other job-related duties as assigned.
Qualifications
  • Must have a minimum of 5 years of construction related Project Management experience with projects in excess of $5,000,000.
  • Capable of overseeing multiple jobs and projects simultaneously.
  • Must have excellent communication, interpersonal and comprehension skills with the ability to work with all levels of Management.
  • Must possess computer skills including the ability to create reports and project Gant Charts. Must possess computer typing skills and have experience with Microsoft Office programs including Excel, Power Point and Word.
  • Must have the ability to apply concepts of algebra and geometry and use fractions, percentages, ratios and proportions for practical situations.
  • High School graduate or the equivalent. A college degree or a Project Management certificate in a related field is desirable.
  • Familiarity with and understanding of the proper application of current building and fire codes (including mechanical, plumbing and electrical codes) required. Must also possess a working knowledge of OSHA regulations.
  • Must be able to read and interpret blueprints and technical drawings.
  • Must have valid NY State driver’s license.
