The Opportunity:

This position is responsible for all functions performed by the Prescott Campus Office of the Registrar personnel to include oversight of both Associate Registrars, all operations in the transfer credit process and prior learning credit process (evaluation of transcripts, posting of credit, processing and building of transfer credit rules in PeopleSoft and maintenance of student academic records. Manages the fiscal affairs of the department, including budget development and priorities; exercises direct fiscal control over the approved budget. Enforces the provision of the Family Education Rights and Privacy Act (FERPA) and acts as the University’s chief compliance officer for FERPA. Responsible for collecting and securing all student documentation in support of academic and degree requirements for both active and inactive students. Provides staff with all necessary training and also provides operational support to the College of Arts and Sciences, College of Aviation, College of Engineering, College of Business, Security and Intelligence, and other departments. Oversees the publication of each semester/term schedule of courses and classroom assignments in accordance with faculty needs. Responsible for all beginning and end of term processes including academic standing and providing necessary communication to faculty, staff and students.

Responsible for catalog management, maintenance, changes, and publication. Facilitates the use of technology in order to support and enhance student services.

Manage licensing request and changes with Arizona State Private Post-Secondary Education Board (AZPPSE) to ensure timely and accurate production.

Coordinate the communication between Prescott, Daytona Beach and World Wide Registrar’s Offices in remaining compliant with the Southern Association of Colleges and School Commission on Colleges (SACSCOC) and aligning ERAUs policies and procedures to adhere to our accreditors.

Provide training, support and direction for 8 full-time staff. Assist in resolving day-to-day procedural problems, emerging situations, answer technical questions and ensure University policies and Federal and State regulations are followed. Work with other offices on campus including but not limited to Financial

Services, Integrated Student Services, the Registrars at our Daytona Beach and Worldwide campuses, Information Technology, and other departments. Motivates and instills a teamwork approach in all areas of the department, especially for each semester's registration and graduation functions. Ensures appropriate training in all areas of the department that are supported by student assistants.

Interpret, adapt and apply all University policies and Federal and State regulations are communicated with all department personnel to ensure a full understanding of the policies. Assist academic departments and individual faculty members with the interpretation of academic policies to ensure accurate communication to students.

Develop and manage procedural changes for the security and maintenance and retention of student academic records. Review curriculum proposal and make appropriate comments for possible changes. Upon approval of each proposal, work with the Associate Registrars to assign new course numbers and coding and communicate actions to various departments and campuses to ensure accurate publication for each campus catalog.

Assist with the pre-registration process for incoming students in the Fall semester each year in excess of 900 students which allows for increased student service and additional time for the beginning of each term semester.

Serve or provide representation on both permanent and ad-hoc committees that impact academics across the campus and university.

5-10 years in equivalent or related field

  • Generate data processing and interpret, communicate, and distribute the analytics
  • Good judgment and independent decision-making skills; ability to manage multiple priorities and projects
  • Proficient in the use of computers and information systems including Microsoft applications, and a variety of software applications including imaging, student information systems. Comfortable with and experienced in configuration and testing of software systems. Previous experience with Student Records module of PeopleSoft Campus Solutions highly desired data processing and analytics
  • General knowledge of accepted practices at other academic institutions; understanding of and ability to enforce academic policies and procedures, standards and curricula
  • Familiarity with non-traditional educational sources of college level advanced standing credit, such as the military guide from the American Council of Education and national or international such as CLEP, DANTES and International Baccalaureate
  • Experience in advising and student interaction ; ability to troubleshoot student issues
  • Familiar with the basic operations of the Office of the Registrar and best practices in the industry
  • Knowledge of specific policies, procedures, processes and rules of the University concerning registration processes, transcript production, processing grades, graduation certification, and record retention and storage
  • Ability to interpret University academic policies and various regulatory agencies at the state, and federal levels
  • Knowledge and understanding of FERPA and other applicable laws is preferred
  • May be required to work weekend/evening hours during peak periods
