Job Description:

OFFICIAL TITLE: Staff Assistant, Administrative Accountant Financial Records
SUPERVISION RECEIVED: Assistant Director, Senior Accountant for University Advancement/Worcester State Foundation Financial Records
SUPERVISION EXERCISED: May supervise student employees, as assigned

General Statement of Duties: Staff Assistant, Administrative Accountant of University Advancement Financial Records performs general accounting and support duties.

Responsibilities:

(E) = Essential

  1. (E) Assists in maintaining the Worcester State Foundation chart of accounts and other financial records.
  2. (E) Assists senior accounting staff with reconciling the foundation monthly bank statements, charitable payroll deductions and reporting.
  3. (E) Researches and resolves fund-related discrepancies or issues.
  4. (E) Assists with preparing documentation for financial and compliance audits.
  5. (E) Provides support for the Director of Advancement Services in the areas of database record management.
  6. (E) Tracks foundation-related fund activity including but not limited to grant fund balances, donations, expenses, investments and adjustments.
  7. (E) Assists with updates of all relevant data in Raiser's Edge and Financial Edge systems.
  8. (E) Provides administrative assistance related to foundation activity, including but not limited to processing donations, scanning and indexing of financial files, and filing.
  9. (E) Assists in training and mentoring the accounting intern.
  10. (E) Assists with University Advancement/Alumni activities.
  11. (E) Demonstrates civility and professional, customer-service oriented behavior, worthy of emulation by other staff and students.
  12. (E) Responsible for contributing to the WSU Strategic Plan.
  13. (E) Responsible for contributing to Equal Opportunity/Affirmative Action objectives.
  14. Performs other duties as assigned.



Requirements:

Required Qualifications:
  • Associates degree.
  • At least 1 - 3 years of relevant accounting experience (part-time and internship experience considered on a pro-rated basis)
  • Ability to interpret federal, state, and local laws, regulations, guidelines, policies and procedures for financial operations and accounting.
  • Strong computer skills; demonstrated experience with Microsoft Office Suite including Excel, Word, PowerPoint and Access.
  • Ability to learn Colleague, Raiser's Edge, and Financial Edge database applications.
  • Ability to work successfully both independently and as part of a team.
  • Ability to organize, analyze and report data.
  • Excellent oral and written communication skills; engages with others in a collegial and professional manner.
  • Ability to maintain complex records and files.
  • Ability to coordinate, prioritize and monitor projects to completion, often with competing deadlines.
  • Ability to maintain confidentiality and use professional judgment.
  • Ability to make complex decisions and problem-solve.
  • Ability to adapt to change.
  • Ability to establish rapport and maintain harmonious working relationships with persons from varied ethnic, cultural and/or economic backgrounds.
  • Ability to successfully pass a thorough background check and CORI check.
  • Ability to perform the essential functions of the position with or without reasonable accommodation.
Preferred Qualifications:
  • Bachelor's degree.
  • Computer aptitude using integrated student information systems software (such as Ellucian's Colleague).

Additional Information:

This is a full-time, benefited, exempt, professional APA position. The firm starting annual salary range for this position is $45,000 - $50,000, commensurate with relevant professional experience and education.
