Position Summary

In this position, you will be a crucial part of a professional team responsible for the effective and efficient operations of the President's office, carrying out the mission of the university and the strategic priorities of the President. The EAs in our office provide the foundation of an impactful administrative team.

You will represent the Office of the President regularly to a variety of audiences including visitors, colleagues, students, faculty, elected officials, donors, and members of the public. You'll answer calls, welcome guests, and field a wide variety of questions. It's important that you maintain a deep understanding of the work of the university and the initiatives of the Office of the President to represent the office effectively, and you must understand when to handle issues directly, when to escalate, and to whom.

As a representative of the Office of the President, you'll help create an inclusive and welcoming environment for our diverse campus. In this role, you'll provide executive support, including scheduling and calendar management, administrative projects, coordinating travel, and processing reimbursements, among other duties, to three members of the President's team.

  • The Assistant Vice President and Advisor to the President on Sovereignty and Government to Government Relations serves as a senior advisor to the president on the university's government-to-government relationships with Oregon's nine federally recognized tribal governments and to the 43 tribes included in the Residency by Aboriginal Rights program. By providing high-level administrative support to the Assistant Vice President, your work will impact Native American initiatives and organizations across campus.

  • The Senate Secretary and Advisor to the President who serves as the liaison to the University of Oregon Senate. The University Senate is a part of a shared governance model and expresses the faculty's will on academic matters through legislation and policy proposals. Your support for the Senate Secretary will focus on administrative project support, among other duties.

  • The Faculty Athletics Representative (FAR) who acts as a liaison between academics and athletics to ensure the academic integrity of the intercollegiate athletics program, promote the well-being of student-athletes, and support institutional oversight. Support for the FAR will include travel assistance, as well as preparation of itineraries and reimbursements, among other duties.

    Under the direction of the administrative manager and as part of a team, you'll also provide direct confidential administrative assistance to the president as needed and directed, including scheduling, correspondence, and travel.

    While there is room for innovation and creativity in this role, there is also a lot of support. You'll be part of a team of EAs and other administrative professionals who can provide guidance, consultation, and subject-matter expertise; you'll work closely with other administrative professionals and teams across campus. In this position, you'll gain insight into the administrative operation of a large and complex organization - a skill set that will benefit you for the rest of your career.

    This position assists and acts in a confidential capacity; the ability to handle confidential material appropriately and maintain an institutional perspective is critical.

    This position reports directly to the Administrative Manager and is eligible for one remote workday per week as determined by staffing levels and needs.
    Minimum Requirements
  • Minimum of three years' experience providing administrative or executive support that includes scheduling and calendar management.
  • Proficiency with all Microsoft Office programs, and direct experience managing/coordinating a busy calendar using Outlook.
Professional Competencies
  • Excellent computer and software skills, including all MS Office programs, in particular Outlook, Word, Excel, and PowerPoint, as well as Adobe Acrobat.
  • Demonstrated high-level organizational skills with the ability to exercise sound independent judgment, prioritize effectively, and manage time and stress well in a fast-paced, detail-oriented, and time-sensitive environment.
  • Possess excellent oral and written communication skills to produce correspondence, documents, reports, and presentations using impeccable grammar and proofreading skills.
  • Ability to manage stressful, and often confidential, situations with tact and diplomacy.
  • Models customer service principles (listening, empathy, patience, respect, responsiveness) and contributes positively to team dynamics.
Preferred Qualifications
  • Bachelor's degree or an equivalent combination of skills, education, and experience.
  • Higher education experience strongly preferred
  • Experience with Microsoft Teams.
  • Project management experience coordinating administrative projects.
