Job Description:

Reporting to the Vice President for Financial Services and Treasurer, the Assistant Vice President provides the overall leadership, strategic direction and management of Student Financial Planning which includes student billing, financial aid, and customer service operations.  The Assistant Vice President will promote the development of ideas to improve service and efficiency, encourage teamwork, conduct staff training, performance evaluations and hiring for the department.  The Assistant Vice President serves as the Chief Compliance Officer for Title IV federal aid regulations and Primary Destination Point Administrator (DPA) for the institution.

 

Job Duties:

  • Develop, implement and maintain policies and procedures to ensure compliance with federal, state, and institutional regulations in relation to student billing, financial aid, cohort default rate and scholarships;
  • Monitor and interpret regulations, ensuring regulatory compliance and informing college officials of regulatory requirements and liabilities;
  • Develop and conduct financial aid presentations and participate in outreach activities, to include, but not limited to: New Student Orientation, Open Houses, Financial Aid Webinars, etc.;
  • Facilitate coordination and communication between respective college departments as they relate to Student Financial Planning's role in creating a positive educational experience for students;
  • Administer the appeals process related to Special Circumstances and establish appeal guidelines;
  • Participate in formalizing the scholarship and financial aid modeling strategy;
  • Serve as coordinator for external entities, such as auditors, program reviewers, and accreditation teams;
  • Complete federal, state, and institutional reports including but not limited to IPEDS and MA Office of Student Financial Assistance;
  • Integrate efforts to maximize Student Financial Planning's role in recruiting and retention of students through proactive outreach to students and their families;
  • Facilitate the assignment of Perkins Loans to the Department of Education;
  • Coordinate Veteran's awarding with the Registrar's office;
  • Oversees the following aspects of financial aid and student billing:
    • All financial aid programs, including federal, state and private grants and loans;
    • Satisfactory Academic Progress (SAP) and Return to Title IV Funds processes;
    • Annual set up of financial aid systems and packaging process to ensure the timely delivery of financial aid awards to prospective and current students;
    • Federal funding limitations and reconciliations;
    • Issuance of 1098T's;
    • All aspects of billing including policies and procedures;
    • Promotion of excellent customer service as it relates to students, potential students/parents, staff, and faculty, and others;
  • Manage the Student Financial Planning budget;
  • Other duties as assigned.

 

Managerial and Supervisory Responsibilities

Supervise the Director of Financial Aid Operations and Director of Student Accounts and Customer Service

Requirements:

  • Bachelor's Degree in a related field, required;
  • Master's Degree in a related field, preferred;
  • 8 years or more of related work experience, required;
  • Management level experience, required;
  • Experience working in Financial Services of Higher Education, required;
  • Operational knowledge of Title IV, State, and Federal laws, rules, codes, and regulations relevant to Student Financial Planning, required;
  • Experience providing supervision and training to staff in a Higher Education environment, required;
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Teams, etc.), required;
  • Experience using Ellucian Colleague, preferred;
  • Strong interpersonal skills, and the ability to foster an engaging, innovative, and collaborative workplace culture, required;
  • COVID-19 Vaccination and Booster, required.
