Essential Duties

  • Provides fiscal oversight and management for Graduate Programs Office, Career Services and other units as assigned
  • Assists in preparation and/or coordination of program and special budgets; prepares budget projection and analyses; reviews and authorizes purchase of supplies, services, and equipment
  • Prepares in the preparation and review of financial and administrative reports; analyzes and interprets statistical, financial and management planning data for decision-making and strategic planning
  • Establishes controls for approval of various actions within Graduate Program Office, Career Services, and other units, such as personnel actions and operational expenditures, as well as revenue forecast
  • Coordinates personnel matters such as payroll actions, classification, recruiting, new hire actions, interviewing and selecting new staff, employee grievances, or other applicable issues
  • Budgets, reconciles, and expenses the schools ASU foundation and scholarship accounts
  • Supervises work of subordinate personnel, which includes hiring, termination, discipline, performance evaluation, work planning, etc.
  • Coordinates internal and external audits, and prepares audit work papers
  • Keeps informed of, interprets and applies pertinent rules, regulations, policies and procedures set forth by university or other governing agency; informs affected staff as changes occur
  • Develops recommendations for implementation of procedures for daily operations of assigned functions according to established policies; prepares and updates internal manuals
  • Represents work unit at meetings for conferences and serves as liaison for unit concerning requests or complaints
  • Controls personnel and department records and inventory functions
  • Performs additional duties or projects, as assigned

Minimum Qualifications

 

 

 

Bachelor's degree in a related field and six (6) years of directly related administrative experience which includes three (3) years of supervisory experience; OR, Ten (10) years of directly related administrative experience which includes three (3) years of supervisory experience; OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Knowledge of supervision practices and techniques
  • Demonstrated knowledge of accounting and budgeting practices and principles
  • Knowledge of state and federal laws pertaining to budgeting and accounting practices
  • Demonstrated knowledge of financial administration principles, financial analysis, budget preparation and forecasting
  • Experience in developing administrative and financial reports
  • Experience working in a higher education environment
  • Skill in developing and maintaining effective working relationships
  • Evidence of effective communication skills, both verbal and written

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse
  • Frequently required to stand for varying lengths of time and walk moderate distances to perform work 
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts
  • Ability to clearly communicate to perform essential functions.
  • Use office equipment including a calculator, telephone, computer (monitor, keyboard and mouse), printer, fax and copier.
  • This position receives general review of objectives.
