This position assists the Gift Officers in the University Advancement Division in achieving their campaign goals by providing support services. This position must exercise discretion and confidential and administrative judgement concerning the procedures to use in accordance with University Advancement policies.

Responsibilities:
  • Perform administrative work, correspondence, and calls of a confidential nature.
  • Develop, prepare, proofread and/or compose correspondence requiring excellent judgement and discretion. Routinely edit materials for internal and external communications.
  • Maintain and monitor/analyze budget records and reports by performing duties such as preparing and submitting expense reports, reconciling, monitoring, and verifying expenditures, reviewing budget statements regarding status of accounts, and making recommendations as to projected budget.
  • Act with a high degree of independence as liaison with inside and outside contacts in preparing meeting materials and minutes, scheduling meetings, arranging and coordinating travel needs, and other support functions.
  • Receive information and requests from both internal and external sources and determine the appropriate way to handle.
  • Interact with donors including calling and scheduling appointments for campaign and project asks, which can and often does include coordination with the Vice President of Advancement, Executive Leadership, Deans, Board of Trustees and other major donors.
  • Compile data and materials for presentations, meetings, and proposals, often confidential in nature.
  • Maintain, process, and manipulate data on a personal computer using word processing, data, and spreadsheet software.
  • Assist in developing and editing campaign and special project materials and committee rosters.
  • Track prospects & donors for visits, solicitation letters, proposals, etc.
  • Participate in appropriate University events.
Requirements:
  • Formal Education: High school diploma or equivalent required
  • Experience: Minimum of 3 years related experience is required.
  • Additional Knowledge/Skills:
    • This position requires a good sense of organization, the ability to perform multiple tasks simultaneously, and the ability to prioritize competing demands.
    • The incumbent must demonstrate typing and spelling competency with grammar and proofreading skills.
    • A good working knowledge of Microsoft Outlook, Word, Access, and Excel and the ability to utilize the Blackbaud software system within a short period of time is necessary.
