Work Control Specialist



Job Description:

Reporting to the Maintenance Manager, the Work Control Specialist manages the day-to-day operations of Facilities’ Computerized Maintenance Management System (CMMS). This position supports the facilities asset management program by maintaining asset data including: operations and maintenance documentation, parts data and inventory, warranty information, preventative maintenance procedures, and schedules for assets. The Work Control Specialist creates reports for analysis of program effectiveness and capital planning. This position will liaise with University Facilities directors and maintenance teams to ensure required resources are identified and allocated prior to work execution and that work records are completed and organized according to departmental standards upon work completion.

Essential Functions:
  • Works closely with maintenance technicians, supervisors, project managers, contractors, and vendors to collect asset data for new construction, renovation, and other projects. Enters asset data into CMMS.

  • Monitors compliance with CMMS standards and specifications to ensure database integrity and standardization. Works with third-party software vendor and contractors to maintain CMMS.

  • Assists maintenance supervisors in purchasing and procurement of maintenance parts and materials. Assists maintenance supervisors to perform spare parts inventory management and auditing on a regular basis. Works with maintenance supervisors to develop standardized parts storage system and reordering triggers. Ensures timely delivery of maintenance parts and materials to support on-time performance of preventative maintenance and maintenance projects

  • Tracks asset maintenance work orders and preventative maintenance routines in the CMMS system. Ensures proper creation, planning, update and closure of work orders and tasks. Requests additional information from the customer service department to ensure customer-requested work is fully defined and can be appropriately prioritized and scheduled. Collaborates with maintenance supervisors and directors to plan maintenance activities. Sets preventative maintenance schedules on a daily, weekly, monthly, and annual basis utilizing CMMS and other tools.

  • Tracks maintenance service contract data, capital project data and maintenance project data in the CMMS. Writes custom reports and uses CMMS data to routinely report on depreciation cycles for rolling assets. Produces accurate reports on facilities asset management program KPIs for management team consumption.

  • Coordinates with Business Operations to match invoices to completed work orders and departmental accounts.

  • Supervises student employees as needed.

  • Additional related duties as assigned.

Work Schedule: Monday - Friday, 7:00 AM to 3:30 PM.

Minimum Pay: $21.59 - Pay Commensurate with Experience

Minimum Qualifications:
  • High school diploma or equivalent is required.

  • Three or more years in facilities maintenance work, with a preference for experience in a higher education setting.

  • Ability to read and interpret plans, specifications and equipment operations and maintenance manuals.

  • Excellent organizational and planning skills with ability to prioritize.

  • Experience utilizing CMMS software, relational databases, or ability to learn new software programs. Working knowledge of standard maintenance work processes.

  • Proficiency with Microsoft Office suite.

Physical Requirements:
  • Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling.

  • Grasping: Applying pressure to an object with the fingers and palm.

  • Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers.

  • Walking: Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.

  • Standing: Remaining upright on the feet, particularly for sustained periods of time.

  • Climbing: Ascending or descending ladders, stairs, scaffolding, ramps, poles and the like, using feet and legs and/or hands and arms. Body agility is emphasized. This factor is important if the amount and kind of climbing required exceeds that required for ordinary locomotion.

  • Stooping: Bending body downward and forward by bending spine at the waist. This factor is important if it occurs to a considerable degree and requires full use of the lower extremities and back muscles.

  • Kneeling: Bending legs at knee to come to a rest on knee or knees.

  • Reaching: Extending hand(s) and arm(s) in any direction.

  • Pushing: Using upper extremities to press against something with steady force in order to thrust forward, downward or outward.

  • Pulling: Using upper extremities to exert force in order to draw, drag, haul or tug objects in a sustained motion.

  • Lifting: Raising objects from a lower to a higher position or moving objects horizontally from position to position. This factor is important if it occurs to a considerable degree and requires the substantial use of the upper extremities and back muscles.

Working Conditions:
  • The worker is subject to both environmental conditions: Activities occur inside and outside.

  • The worker is subject to noise: There is sufficient noise to cause the worker to shout in order to be heard above the ambient noise level.

  • The worker is subject to hazards: Includes a variety of physical conditions, such as proximity to moving mechanical parts, moving vehicles, electrical current, working on scaffolding and high places, exposure to high heat or exposure to chemicals.

Types of Work:
  • Medium work: Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
