Position Summary Information

Job Description Summary

Reporting to the Academic Operations Manager, the incumbent will assist with leading and facilitating the daily operations of the Academic Operations team. Provide high-level administrative support to the academic leadership, including deans, chairs, and directors. Utilizing historical and present data, ensure efficient and effective use of resources relating to course scheduling, forecasting class section offerings, and manage the catalog revisions and program change process. Oversee short and long term academic projects. Maintain and update a variety of program related records. Strive to ensure Dodge College academic services meet the needs of the Dodge community.

Responsibilities
  • Maintain and enter Peoplesoft class schedule, at the direction of the Director of Curriculum Management and the Academic Operations Manager
  • Oversee the course proposal and scheduling process for Summer/Interterm
  • Create final exam schedule
  • Manage the annual catalog revision process, ensuring ongoing discussion of changes are captured/deadlines met
  • Assist with the Part-Time Lecturer contract process
  • Disseminate information and changes to existing policies or new procedures
  • Oversee collection, analysis, and reporting of program activity data
  • Conduct internal controls to plan class offerings, space allocations and anticipate student required class needs
  • Assist the Associate Dean of Academic Affairs in overseeing the annual assessment process and periodic program reviews by collating data, and providing reports for presentation to external reviewers
  • Contribute to the annual Faculty and Staff Forum by providing academic updates and data reports
  • Coordinate meetings and lead discussions with academic leadership and Program Coordinators, providing data reports to help inform decisions
  • Evaluate systems and processes for efficiencies and inaccuracies
  • Work with the Academic Operations team to ensure academic information is communicated accurately
  • Assist with Dodge College events, such as orientation week, Preview Day etc.
  • Assist with special academic projects and initiatives
  • Participate in, and contribute to academic meetings, sharing institutional knowledge, updates and make recommendations/offer solutions as appropriate
  • Provide excellent customer service
Required Qualifications
  • Bachelor’s degree and minimum of three years professional experience in providing administrative support, or an equivalent combination of education and experience
  • Excellent communication and interpersonal skills, with the ability to interact with diverse individuals and groups at all organizational levels
  • Strong organizational skills
  • Experienced in using Microsoft Office
  • Ability to learn and use enterprise systems and applications needed for the position Proven ability to interpret and apply academic policies and standards governing student degree requirement, and academic progress
  • Strong analytical skills to gather data, analyze information, arrive at sound conclusions, and provide accurate recommendations
  • Proven ability to plan, prioritize multiple projects and complete them in a timely manner
  • Proven ability to work independently and troubleshoot complex issues
  • Meticulous attention to detail
  • Ability to use tact and diplomacy and to maintain a high level of confidentiality
  • Able to prioritize and complete tasks efficiently and accurately in a busy work environment with many interruptions
  • Strong commitment to customer service and teamwork
