Position Summary

The Operations & Office Manager, reporting to the Assistant Dean, is a multi- faceted role that is responsible for managing the Center for Multicultural Engagement and Inclusion ( CMEI ) operations, the coordination, implementation, progress, and completion of projects to support the department, and administrative assistance to the Assistant Dean. The position responsibilities are broad, dynamic, and essential to the overall operations of the CMEI and in particular to effective student support. The position calls for an individual who is interested in diverse work projects, is detail oriented and an excellent communicator, enjoys a fast-paced and student-focused environment, and who is able to work autonomously. The position also calls for a creative solution-oriented problem solver, and for a professional who exercises sound judgement. The person in this position will assist in office operations including, supporting the day-to-day functions of the CMEI, coordinating front line procedures, supervising student staff, and providing administrative support to other CMEI staff on the logistics of their programming.

Duties/Responsibilities

50% Office Management & Administrative Support
  • Manages the reception of visitors and callers and maintain adequate coverage for the office. This includes conducting initial assessment of visitor/caller needs, making appropriate referrals, resolving problems and answering questions regarding policies and procedures, and triaging walk-in appointments or callers. Visitors and callers are primarily MSU Denver students, staff, and members of the faculty but also includes diverse external community members, family members of current and prospective students, and others.
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Purchases/procures office supplies and equipment, maintain departmental inventories, and develop/maintain systems for effective office operations related to supply and equipment management.
  • Plans, implements, and provides support for events hosted by staff in the CMEI . Arranges for event/meeting space and related administrative planning and logistics, arrange for catering, décor, and/or special elements, prepare and/or coordinate relevant materials and supplies, audio-visual equipment, set up RSVP /participant tracking mechanism and/or manage RSVPs, and related duties.
  • Manages the flow of and appropriate electronic storage (filing) of all paperwork through the CMEI including personnel, budget/fiscal, and travel approvals and related documentation.
  • Updates policies and procedures manuals.
  • Maintains key and job matrices and works closely with AHEC and MSU Denver Facilities for access and approval and works with all office staff on onboarding new staff.
  • Serves as Emergency Preparedness Coordinator, attends necessary workshops and seminars, and instructs the unit on emergency response information; keeps emergency contact lists up to date.
20% Support to the Assistant Dean
  • Manages the calendar for Assistant Dean, liaising appropriately with internal and external colleagues to do so.
  • Schedules recurring and ad hoc meetings and/or events on behalf of the Assistant Dean, including drafting and distributing agendas, verifying participant attendance, and related communication. As requested, prepare materials for meetings and events for which the Assistant Dean is leading and/or attending.
  • Serves as liaison and first point of contact when representing the Assistant Dean in communication with internal and external departments, organizations, and groups through a variety of modalities including phone, emails, meetings, and one-on-one conversations.
  • As requested, attends meetings with or in place of the Assistant Dean and take accurate notes/minutes for distribution.
  • Tracks materials and/or approvals requested of the Assistant Dean, assist with scheduling approval and related tasks for the Assistant Dean, and ensure appropriate record keeping of approvals.
  • Assists with logistics of the Assistant Dean travel arrangements and off-campus meetings/events.
15% Student Supervision
  • Recruits, hires, trains, supervises, and evaluates student staff members to assist with reception and project duties in the CMEI . This position serves as a direct supervisor of student staff.
  • Responsible for all student staff onboarding and training.
10% Communication Management
  • Supports the Assistant Dean with communication initiatives, including drafting communication on behalf of the Assistant Dean, editing documents and materials, and outreach to alumni, campus community, faculty, and prospective community partners.
  • Coordinates print ads and electronic communication to include e-newsletter, listserv, brochures, bulletin boards, calendars and posters.
  • Develops, updates and manages the CMEI website and social media accounts.
  • Tracks and maintain records of press coverage on the CMEI programs and staff and catalogue coverage for annual reports.
  • Maintains the CMEI organizational charts and communication listservs; distribute information and updates to the CMEI staff in an efficient manner.
  • Supports the Assistant Dean in organizing the annual report, appendix and edits and assessments as needed.
5% Related Other Duties
  • Participates in training and relevant professional development activities to support professional and departmental growth. Works to operationalize and integrate learning from these trainings into the work unit and work processes.
  • Other duties as assigned.
Required Qualifications
  • Excellent written and verbal communication skills (error-free and able to clearly articulate ideas in a written format).
  • Detail-oriented with strong organizational, planning, and multi-tasking skills.
  • Excellent customer/student service skills.
  • Experience developing and/or updating websites using a content management system.
  • Experience working in a high volume, multi-faceted work environment.

Preferred Qualifications
  • Bachelor’s degree from an accredited institution of higher education – Or the equivalent combination of education and experience providing administrative support is required (one year of education is equivalent to two years of experience).
  • Knowledge of specific technical or operational systems [i.e. Windows, Mac OS, Banner, coding languages, etc].
  • Two years of experience providing supervision and/or task management over staff including hiring, training, and performance management.
  • Demonstrated experience working with professional staff and leadership at all levels of an institution.
  • Demonstrated experience working independently on multiple projects simultaneously while still meeting deadlines.
  • Experience working with and sensitivity to the needs of a diverse urban student population including, but not limited to students of color, LBGTQIA+ students, students from low-income backgrounds, first-generation students, students with disabilities, undocumented students, non-traditional students, student veterans, and English-language learners.
