Job Summary
The budget and research coordinator is responsible for organizing and overseeing the institution’s records relating to current and prospective donors, researching to discover prospects for gifts and documenting the association of these prospects with the university. This position also provides high-level administrative support to the vice president by preparing reports, handling data requests and performing clerical functions.

Job Responsibilities and Execution
- Assists in departmental budgeting, forecasting and financial modeling
- Assists with development research on major gift prospects
- Tracks prospects and keeps detailed records of donations and fund balances
- Schedules and organizes complex activities such as meetings, travel, conferences, catering and departmental events
- Answers phones, responds to email, forwards messages and confirms appointments
- Performs data aggregation and analysis to create (format, edit and proofread) documents and reports
- Coordinates annual giving and memorial gift programs
- Takes initiative in conducting research projects
- Acts as a liaison with other departments and outside agencies
- Handles confidential and nonrecurring information and explains policies when necessary
- Supports the mission of the university and serves as an ambassador of the Q2 culture of service excellence
- Models, supports and holds others accountable to the university’s values – integrity, dedication, excellence, creativity and teamwork
- Works independently and within a team on special nonrecurring and ongoing projects
- Assists department personnel in administering policies and programs associated with public relations, communications and specialized events designated to support advancement goals
Required Qualifications – An equivalent combination of education, training and experience will be considered. Additional requirements may be designated by position.
- Bachelor’s degree
- Minimum of two years’ related work experience, including budgeting, forecasting, financial modeling and research and analysis of major gift prospects
- Demonstrated ability to work effectively with individuals from diverse communities and cultures
- Excellent written and verbal communication skills
- Excellent customer service skills
- Highly organized and motivated, with ability to multi-task
- Strong professional integrity
- Ability to problem solve, use good judgment and think critically
- Basic research skills
- Ability to learn and apply institutional policies and procedures
- General office setting
- Ability to work effectively at a computer for up to eight hours daily
- Ability to sit for extended periods of time
- Regular attendance is a necessary and essential function
