POSITION:                   ADMINISTRATIVE ASSISTANT II

DIVISION:                    STUDENT AFFAIRS

Responsibilities:        Reporting to the Vice President of Student Affairs, the Administrative Assistant II performs a variety of routine and moderately complex administrative and clerical tasks in support of the Office of the Vice President of Student Affairs. This role also plays a vital role in the implementation of quality customer service and report production for the Division of Student Affairs. Performs a variety of administrative and clerical tasks in support of office and divisional functions, including but not limited to answering the telephone, greeting guests and visitors, preparing and managing files, scheduling meetings and maintaining pertinent calendars. As needed, conduct routine administrative and clerical work, including managing mail, photocopying, ordering supplies, assembling materials, and faxing/scanning documents.  Anticipates and prepares materials needed for office and divisional meetings and events. Coordinates and inputs budget and travel correspondence and requisitions in the university's fiscal management system (i.e., Jenzabar); maintains office and divisional inventory by checking stock to determine supply levels, gleans needed supplies, places orders and verifies receipt of supplies; completes operational responsibilities by scheduling projects and expediting work results; ensures that required deadlines are met and work submissions are completed accurately and efficiently; prepares agendas for meetings and records,  as well as compiles, transcribes and distributes meeting minutes when applicable. Prepares and edits documents including letters, memorandums, reports and emails; assists in composing, updating and following standard operating office and divisional procedures.

Qualifications:           An associate's degree required in an appropriately related field and at least two years of experience in an administrative office setting; an understanding of the higher education environment; or, an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities. A Bachelor's degree is preferred. Demands excellent problem solving, oral and written communication skills; strong computer skills; ability to interpret policies and procedures; ability to work in a team atmosphere and possess an overriding concern for customer service.  Office management and database experience are priorities. Must be flexible to respond to many requests simultaneously, possess an "all hands on deck" work ethic and know how to prioritize project work.  Must demonstrate intermediate to advanced skills with Microsoft Office as well as the ability to type 50 words per minute with accuracy.
