Operations Coordinator, Career Collaborative



Job Description:

The Operations Coordinator ensures administrative and organizational efficiencies of Career Collaborative's operational activities and serves as the primary point of contact for the department to internal and external stakeholders, including the Career Collaborative team, the Assistant Vice President of Career Design & Employer Outreach, and Chief Operating Officer.

This role will oversee the coordination of all administrative aspects while managing the smooth functioning of day-to-day operations of the department including:
  • Maintain databases and generate reports.
  • Manage Handshake job and internship postings to be promoted in a complete, accurate and timely manner.
  • Oversee accounting and budgeting functions, including accounts payables and accounts receivables; prepare travel and purchase requisitions; order products and office supplies; and maintain financial records and files.
  • Coordinate, assemble and maintain administrative details and meeting logistics
  • Assist in administrative efforts of InSight, including Handshake postings, milestone tracking, Handshake event promotion, Signature Events sign ups, and other efforts.
  • Hire, direct and supervise student employees.
  • Manage student/alumni appointments, calendar of events, registrations, and electronic systems for expense management, travel and placing orders with vendors.
  • Serve as an information resource to prospective students and families; respond to department related inquiries from Champlain faculty and staff.
  • Support programs and activities in Career Collaborative including weekly staff meetings, career fairs, Signature Events, and related Career Collaborative programs.
  • Supports Champlain at campus events, including Admission Open Houses, Accepted Student Days, and Champlain Weekend.



Requirements:

  • A bachelor's degree
  • Excellent written communication and organizational skills
  • Strong analytical abilities
  • 3 years of administrative support experience
  • Exceptional ability to multitask and remain calm in a fast-paced environment with frequent interruptions
  • Ability to set and adjust priorities, learn new information quickly, be proactive and take initiative, as well as work both independently and as part of a team
  • Strong writing and communication skills
  • Professional and friendly demeanor needed
