Job Description:

Dean College invites applications for the position of Registrar/Director of Institutional Research. Reporting directly to the Vice President of Academic Affairs, the Registrar leads all operations within the Office of the Registrar. The Registrar is the official authorized keeper of all student records and related data, maintaining accuracy, reliability, and integrity. This position provides institutional data for internal and external reports. The Registrar implements curricular and academic policies set by faculty, and collaboratively manages all aspects of the class scheduling and student registration processes with the Office of Academic Affairs, the Center for Advising and Career Planning, and other pertinent offices. The Registrar certifies students for graduation and supports Commencement preparation. This position also oversees transfer credit evaluations for new and current students. The Registrar effectively utilizes software applications to track student progress toward degree completion, to produce reports, and to assist with daily operations of the office. This position works closely with the Office of Academic Affairs, including school deans and program coordinators; the Center for Advising & Career Planning, including the success & career advisors; the Center for Student Financial Planning & Services; the Office of Admissions; and IT.


Job Duties:

  • Supervise staff in the Office of the Registrar - ensure staff is trained and stays current on all changes to processes, systems, and curricular and academic policies.
  • Manage the building of the class schedule for each term - working with Academic Affairs, school deans, program coordinators and success & career advisors to ensure the accuracy of the course schedule. Analyze and provide data to determine course needs. Assigns courses to classrooms. Create Finals Week schedule.
  • Maintain Degree Audit system that provides academic information for current students.
  • Complete final graduation audit for students receiving degrees.
  • Ensure all final grades are recorded at the end of each term.
  • Calculate end of semester standings. Notify students and administrative offices of the outcome of the calculations for Probation, Suspension, Dean's list, and President's List.
  • Provide data for external reports, such as College Board and US News &World Report, and others. Serve as keyholder for IPEDS reports. Analyze college data to determine enrollment, retention, and graduation rates. Provide annual updates to NECHE, Department of Higher Education, NC-SARA, and other agencies.
  • Ensures compliance with federal regulations, FERPA, VA Benefits, National Student Clearinghouse.
  • Implement college, State or Federal policies as they relate to student records.
  • Ensure student academic record integrity and security by serving as FERPA compliance lead, applying state and federal regulations to record management, monitoring access to student records, and managing and evaluating record processing for accuracy.
  • Coordinate with Student Development and other offices regarding campus opening and student check-in processes.
  • Participate on Academic Council, Curriculum Committee, Academic Standards Committee, Retention Management and Enrollment Committee, Campus Operations Group, and Commencement Committee.
  • Provides leadership in digital data management, and in the selection, implementation, and integration of new systems critical to the success of the office.
  • Other related duties and projects as assigned.


  • Master's degree in Education or related field from an accredited institution required.
  • Five or more years' experience working in a higher education environment or similar field at the director level.
  • Comprehensive experience of academic record keeping, registration activities, commencement activities and protocols, academic advising policies, transfer credit evaluation and policies, curriculum management and development, enrollment related trends and activities, budget planning and preparation, strategic planning, goal setting and accomplishment, institutional research.
  • Familiarity with and proficiency in various technologies critical to record-keeping, such as student information systems, database management, and Microsoft Office and related tools. Familiar with Ellucian Colleague or comparable ERP system required, experience with eTranscript providers is preferred.
  • Knowledge of U.S. educational systems, credentials, and Family Education Rights and Privacy (FERPA).
  • Ability to collaborate effectively with college departments and cross-functional teams. Strong interpersonal, oral, and written communication skills.
  • Detail oriented and able to work with minimal supervision; and have demonstrated analytical, organizational, and customer service skills.
  • COVID-19 Vaccination and Vaccine Booster Shot required.
