SUNY Sullivan is seeking to fill the position of Events, Alumni Relations, & Scholarship Manager. The Manager is responsible for planning, coordinating/implementing, and administering activities and programs organized and offered by SUNY Sullivan, the Sullivan County Community College Foundation, and the SUNY Sullivan Alumni Network. This position reports to the Dean of Communications and Admissions.
The Events, Alumni Relations, and Scholarship Manager is classified as Academic Support Staff and the incumbent is a member of the Professional Staff Association (PSA). Flexible scheduling is required, including some evening and weekend hours.
QUALIFICATIONS:  Bachelor's degree in Communications, Public Relations or a related field with at least two years of experience in planning events, meetings and functions, or an Associate’s degree with five years of recent experience;
 The ability to handle multiple tasks and have strong organizational skills;
 Must be able to demonstrate strong organizational, written and verbal communication skills;
 Must be a team player with a pleasant personality and professional approach and able to work in a fast-paced environment where flexibility is key.
 Experience working in Alumni Relations preferred.
DUTIES AND RESPONSIBILITIES:
Event Planning:
 Function as liaison between individuals and/or committees to coordinate the event planning process
 Research underwriting and possible alternative sources of funding for campus events
 Research venues and/or locations, vendors, caterers, suppliers and gifts companies
 Assist with contract negotiations for activities and events
 Assist with the facilitation of marketing, promotion and advertising of events
 Support special events with on-site direction and execution of logistics
 Supervise staff assigned to special events and activities
 Coordinate distribution of tickets, food and beverage orders for events
 Keep track of deadlines for billing, contracts, guarantees and invoices
 Coordinate income and expense records, insuring accuracy of all submitted invoices and payments
 Provide written reports when requested
 Perform other related duties as assigned by Dean of Communications
While not exhaustive, the following list illustrates the range of events and activities in which this position is and/or maybe involved:
 Golf Tournament, Summer Events at Bethel Woods, Donor Breakfasts/Dinners, Craft Fair, Kite Day, Met Opera, Annual Faculty/Staff Cocktail Party, Service Awards, Holiday Luncheon, Commencement, Board of Trustees dinner, and additional events as needed.
Alumni Relations:
 Develop and manage Alumni Association mailing lists and assist in coordinating communications, and the production of suitable social media content to support relevant alumni engagement.  Assist in the production of alumni-friendly outreach events, coordinate and attend Alumni meetings and meet-and-greet events.  Assist in the cultivation of alumni donors and overall giving to the college, in areas such as the need-based student scholarships.
Scholarship Management:
 Work with the Community Foundation of Orange and Sullivan to coordinate reporting and administration of SCCC Foundation scholarship accounts, including maintenance of an annual scholarship booklet, and the advertisement of deadlines. Coordinate with the Offices of Financial Aid and Student Billing on scholarship awards, notification of award recipients, and one-on-one communication with students.
 Work with outside organizations to develop criteria for new scholarships. Coordinates annual scholarship budget with Foundation Treasurer.
