POSITION DETAILS
Brooklyn College is soliciting applications for the position of Confidential Executive Assistant to the Provost. The Provost seeks a Confidential Executive Assistant to oversee and manage the Office’s administrative, clerical and reception work across three units—the Provost’s Office, Institutional Effectiveness, and Faculty and Administration.
In addition to the CUNY Title Overview, the confidential executive assistant works with staff and administrators across the college, manages the Provost’s calendar, schedules meetings, takes minutes, maintains the office’s budgets and supply inventories, keeps up to date records, liaises with the budget office, manages the offices work for faculty hiring, organizes events, conducts basic research, manages the general office email account, drafts communications, and proofread documents.
The selected candidate will demonstrate outstanding interpersonal, communication, and technological skills and thrive in a collaborative and collegial environment. the ability to maintain confidentiality, act with diplomacy, think critically, and work independently are key to success in the position.
Candidates will be required to provide proof of being fully vaccinated against COVID-19 upon commencing employment. Exemption (medical or religious) requests to this requirement will be considered in accordance with applicable law. Being fully vaccinated is defined for this purpose as being at least two weeks past their final dose of an authorized COVID-19 vaccine regimen. Final candidates must be fully vaccinated as of their first day of employment.
QUALIFICATIONS
Bachelor's degree and four years' related experience required
Other qualifications:
- Ability to maintain confidentiality and act with discretion Excellent oral and written communication, interpersonal, and critical thinking, and problem-solving skills Strong research skills, including internet research, and numeracy Proficiency with MS WORD, PowerPoint, EXCEL, GOOGLE Docs, Dropbox, Microsoft Teams etc. Detail oriented; ability to multi-task Outstanding organizational skills Demonstrated ability to work collaboratively and collegially Ability to work fully in-person on a 9-5 schedule Master’s degree and experience in a higher educational environment preferred
CUNY TITLE OVERVIEW
- Supports a Campus or University Executive as a confidential assistant, organizing and supervising unit activities. Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events; maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule Coordinates Executive communications, including those requiring a high degree of sensitivity; responds to public inquiries as well as requests from within the Campus/University community Organizes, creates, and distributes key, complex management reports with a high degree of accuracy Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities Procures required internal and external resources and services and manages their utilization May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing Participates in special projects and efforts to improve unit effectiveness Performs related duties as assigned.

$64,649 - 75,465; Salary commensurate with education and experience.
