Earlham College's Office of Disability and Accessibility Services (ODAS) is seeking a Part Time Administrative Assistant.

The Office of Disability and Accessibility Services (ODAS) is guided by the mission of Earlham College—to assist every student in discovering the teacher within. ODAS focuses its work on aiding and enhancing the broad range of academic skills necessary for student success. ODAS offers a variety of support services to all students including reasonable accommodations in compliance with the Americans with Disabilities Act and Section 504 of the Rehabilitation Act, individual learning strategy support (e.g., working sessions with students on time management, creating a schedule, and personal advocacy), academic and life skills workshops (e.g., effective studying and test-taking, strategic note-taking, reading with a purpose, campus living, and interpersonal conflict resolution), and advocacy support for students with disabilities in faculty meetings, student conduct processes, and referral to support services. With the goal of transformative student experiences, we understand the support and individualization needed to help students achieve their fullest potential. An accessible education is every student’s right. Serving students with and without disabilities alike, we believe that everyone encounters obstacles and challenges that can impede their educational access. It is for this reason that ODAS offers services to all Earlham students, working closely with our partners in the Quantitative Reasoning Center, Peer Tutoring Center, Writing Center, Residence Life, Health and Counseling Services, and the Offices of the Registrar and the Associate Academic Dean for Students, to ensure collaborative support toward successful graduation.

The Administrative Assistant for ODAS will be an integral member of the Disability and Accessibility team, managing daily operations including, but not limited to, answering phone call and email inquiries and directing in-person visitors, appointment and event scheduling, confidential filing and record-keeping, managing distribution and operation of adaptive technology, processing provider paperwork for Coordinator review, creating and updating print and electronic materials, proctoring examinations, supporting related student organizations, and supervising student-workers. We are looking for a dynamic, motivated, flexible, and collaborative professional with skills in organization, time management, interpersonal communication, and record-keeping. A commitment to diversity, equity, inclusion, and confidentiality is essential as well as a passion for working with students with diverse learning and living needs and communication styles.

Role and Responsibilities
  • Handle highly sensitive and confidential information (and documentation/reports) of students applying for and gaining reasonable accommodations
  • Refer students to needed resources both on and off campus
  • Maintain confidential paper and electronic filing
  • Follow up to request needed documentation from students
  • Maintain lending system for adaptive technology
  • Creation of excel sheets for student tracking
  • Maintain inventory for offices
  • Respond to phone calls and monitor emails
  • Assist with tabling for various events like NSO, involvement fair, etc.
  • Assist students with completing documentation
  • Greet office visitors and take complete messages
  • Organize and schedule meetings/appointments
  • Maintain contact lists
  • Other duties as assigned by supervisors
Qualifications and Education Requirements
  • Attention to detail and excellent record keeping
  • Ability to multitask
  • Excellent written and verbal communication skills
  • Efficient time management skills and the ability to prioritize tasks
  • Previous customer service experience
  • Proficiency in Microsoft Office (Excel, Word)
Preferred Skills
  • Associate or Bachelor’s degree
  • Knowledge of disability-related laws and privacy regulations (FERPA, ADA, Civil Rights Act of 1964, Section 504, IDEA, HIPPA, etc.)
  • Previous administrative experience
  • Working knowledge of Qualtrics
