The Office Manager is responsible for a wide variety of administrative duties that facilitate the operations of the Department of Health Services. This position interacts with students in a highly sensitive environment while maintaining confidentiality.

Essential Duties & Responsibilities

  • Answer telephones, take messages, schedule student appointments, and provide general administrative support to office medical personnel.
  • Greet students arriving at the clinic; exercise discretion to assign or re-assign the priority in which students are seen, if needed.
  • Support, embrace, and respect diversity; seek out programs and professional development opportunities to increase awareness and understanding of topics related to diversity and inclusion.
  • Maintain students’ rights to privacy and confidentiality. Is discreet in all communications.
  • Comply with the Massachusetts Department of Public Health mandates related to required immunizations.
  • Communicate with students about the need for and ramifications of non-compliance.
  • Maintain and secure all student medical records in compliance with state and College retention schedules.
  • Follow policies and procedures; complete administrative tasks accurately and on time; support College’s Catholic mission, goals, and values.
  • Work in conjunction with Student Accounts ensuring compliance with Massachusetts mandated student insurance requirements. Maintain the insurance card file. Act as primary liaison with School Health Insurance Plan representative. Have a working knowledge of both the plan and brochure.
  • Maintain records on insurance payments and subscribers. Meet with insurance personnel when necessary.
  • Assist students and their families in resolving insurance billing questions and issues.
  • Handle insurance inquiries with insurance agencies.
  • Initiate and follow reviews on questionable insurance payments.
  • Complete and maintain reports, schedules, and statistics related to the operation of the Health Services Department.
  • Hire, train, and supervise work-study student(s).
  • Maintain the inventory of all office and health supplies. Is attentive to expiration dates.
  • Monitor and maintain department budget.
  • Other duties as assigned.

Education & Experience

An Associate’s Degree and two years of medical office experience are required.
