General Summary: Provides administrative and operational support for the VP for Enrollment and Dean of Admission & Financial Aid within the guidelines of federal, state and local laws and college and division policies and procedures. Reports to the VP for Enrollment and Dean of Admission & Financial Aid and works with co-workers, prospective students and their families, high school counselors, student assistants, alumnae, trustees, and college personnel to assist the VP in meeting division goals and objectives.

Essential Job Functions:

  1. Provides administrative support and operational assistance to the VPE in areas such as budget management, calendar management, meeting preparation, and vendor management.
  2. Assists the VPE with enrollment project development including gathering supporting materials, producing reports, presentations, correspondence and coordinating document approvals.
  3. Creates, coordinates and organizes internal and external correspondence for the VPE, often regarding confidential matters and requiring independent, sound judgment.
  4. Manages VPE's Enrollment Division budget including review and analysis of monthly budget via online budget workbook tool, processes monthly billing and budget reconciliation, submits reimbursements for expenses, and provides VPE with detailed monthly expense reports.
  5. Manages the VPE's office and the Enrollment Division, including creating and organizing files, ordering office supplies, and acting as liaison for facilities, telecommunications, IT, and general operations.
  6. Manages and trains Admission Student Assistants including the coordination of telephone coverage with student assistants. Provides back up telephone support for the office of admission telephone system.
  7. Provides additional support such as calendar management, budget assistance and organization for the Enrollment Directors and the division on an as-needed basis.


REQUIREMENTS

Education: Completion of 2 years of college required. BS or BA degree preferred.

Experience: Minimum 3 - 4 years work experience, preferably with some experience in higher education.

Knowledge/Skills/Abilities:
  • Proficiency in MS Windows, MS Word, Excel (advanced), PowerPoint, Gmail. Familiarity with multi-user database.
  • Outstanding customer service skills including a warm and approachable personal style.
  • Experience with budgeting and accounting practices.
  • Excellent verbal and written communication skills including proofreading and attention to detail.
  • Ability to think critically, solve problems and work collegially in a deadline-driven environment.
  • Desire and interest in supporting a diverse and inclusive campus environment.
  • Excellent organizational and project management skills.
  • Demonstrated ability to maintain confidentiality, use discretion and good judgment, work independently, and prioritize work assignments.
Other: Irregular hours may be required on an occasional basis for special events and projects.
