We invite you to join our team as a Mail Services Worker II! Positions in this classification collect, sort, classify, process, rate, and deliver U.S. mail, international mail, bulk and pre-sort mail, parcel post packages and inter-office mail for campus employees. The incumbent will also operate, configure and maintain mail processor equipment including postage machines, sorters, meters and scales. Incumbents plan and coordinate bulk and pre-sort mailing jobs and may serve in a lead capacity by providing work direction and training to lower-level mail services classifications. This position is scheduled to work 40 hours per week, 12 months per year on the Santa Monica College Main Campus.

  • Attention to detail and reading comprehension to prepare and process mail orders, which includes inputting data to mail processors and entering order details into mail machines; ability to spot and correct discrepancies in mailing information, which can include fixing mail lists, mail merges, and mailing addresses; ability to navigate and accurately apply postal regulations, procedures, and requirements; adaptability to complete the most urgent task at hand in an environment with changing priorities; professional integrity and ethics that include accountability for one's mistakes; ability to adhere to safe work practices; customer service and oral communication skills to effectively share mail services information with customers; the ability to learn how to use mail machines, including processing bulk mail jobs; and professional experience that included application of related best practices, regulations, and techniques for carrying out mailroom duties.

*Benefits, holidays, vacation, and illness days listed above assume a 12-month, 40-hour per week schedule. Benefits, vacation and illness days are prorated for other work schedules.
Salary Placement
New Employees: Generally, new employees start at the first step on the salary schedule. A new permanent classified employee may request a higher salary placement based on recruitment issues and/or additional training and experience which greatly exceeds the minimum requirements. Please note that salary placement above the third step requires additional approvals by Santa Monica College executive staff.

Current Employees: Upon promotion, the new salary for a current, permanent employee is based on Merit Rule 12.2.8. In accordance with this rule, employees are entitled to at least a one-step (5%) salary increase, and may be eligible for advanced step placement in accordance with established criteria.
About the Selection Process
The selection process tentatively consists of a Qualifications Appraisal Interview worth 100% of candidates' overall test score, possibly preceded by a Written Test (Pass/Fail). Candidates must be successful on all test parts to be placed on the eligibility list. The eligibility list created from this recruitment will be used to fill any vacancies that occur during the one year life of the eligibility list, including permanent and temporary positions.

Santa Monica College reserves the right to modify the stated test components and weights prior to the administration of any test.

Test Retake Policy
Based on the District's hiring needs, we may administer multiple recruitments for this job classification (or a related job classification that uses the same test(s)) within the next several months. Candidates must wait a period of 90 calendar days between testing appointments before retesting. Candidates who are ineligible to participate in an upcoming test or interview due to the provided retake period will be notified via email, and will have their highest valid score(s) on any non-weighted (pass/fail) test parts applied toward that recruitment.

Examples of Duties
Carries out mailroom duties in accordance with United States Postal Service (USPS) regulations, rules, and procedures, as well as those required by common carrier procedures, consistently using safety procedures in performing work.

Receives, records, sorts, distributes, and delivers incoming mail, including registered, certified, and insured mail, and campus mail, to employees.

Collects, receives, and processes outgoing mail and deliveries in a timely and cost-effective manner by sorting, classifying, weighing, calculating costs, metering, affixing postage, and delivering mail to the USPS or one of its authorized providers using a District-provided vehicle.

Operates a high speed, automatic address-labeling machine, inserter/folder, tabbing machine, computer, calculator, postage meter machine, and copiers, and ensures quality of end products.

Maintains records and logs of postage charges by department and other mail transactions as assigned, audits mail charges, and assists in the preparation of monthly mail activity reports.

Carries materials and assists in moving heavy objects as related to mailroom operations.

Prepares bulk and pre-sort mail for processing by creating mail lists and/or verifying the accuracy of mail lists against the National Change of Address database, and processes bulk and pre-sort mail in accordance with District & USPS policies.

Advises campus departments on matters such as classes of mail, postage rates, delivery time, customs requirements, weight and size limitations, and mail piece design.

Requests mailroom supplies such as meter tape, stock envelopes, labels, and mailing tubes, organizes and keeps an accurate inventory of supplies on hand, keeping with departmental cost-effective measures, and distributes select mailing supplies to campus departments.

Assigns and maintains the District's centralized on-campus mail boxes for faculty, staff, and departments.

Operates and performs routine and minor maintenance of mail center equipment and light equipment including carts and other labor saving devices; works through campus repairpersons, as appropriate, or informs the supervisor of the need for vendor services, for more difficult or sensitive repairs.

Maintains a positive, helpful, constructive attitude and working relationship with all District employees and the public.

Updates knowledge of new relevant technology and equipment by participating in on-the-job and other forms of training.

May assist with providing work direction and training to lower-level mailroom staff.

Performs other related duties as requested or assigned.

Minimum Qualifications
Education Requirement:
High school diploma or equivalent is preferred.

Experience Requirement:
Two (2) years of experience in the general performance, operations, and maintenance of mailroom duties and equipment.

Education/Experience Equivalency:
Experience and/or education of the same kind, level or amount as required in the minimum qualifications may be substituted on a year-for-year basis.

Licensure and/or Certification:
A valid driver's license.
