IT CHANGE MANAGEMENT COORDINATOR

Scope of Job:
Coordinate and ensure that proper change management procedures are followed by IT teams and university departments for all installations, upgrades and other technical activities. Optimize the effectiveness of the interaction of information systems and organizational processes in an efficient and timely manner. Promote and educate staff on change management practices across all IT departments to minimize the risks of negatively impacting production IT environments and services.

Description of Duties:
  • Responsible for the Information Technology Service Management (ITSM) Change Management Process and oversees the IT Change Management Calendar within the ITSM tool.
  • Develops and communicates the Change Management process and supporting procedures and advises departments on all needed processes.
  • Promotes the benefits of Change Management to management and departments.
  • Ensures that changes to services and applications follow change management process to reduce the risk of issues in production environment.
  • Collaborates with IT Directors and Management Team to ensure that compliance with Change Management Processes in all aspects of change preparation, communication, and implementation are complete.
  • Coordinates, plans, schedules, and engages in multiple initiatives simultaneously with competing deadlines.
  • Receives, reviews, records, categorizes and distributes Change Requests and follows up as necessary. Ensures that key stakeholders and customers receive the appropriate types of communication, and that proper planning and testing has taken place prior to a change occurring in production.
  • Acts as the designated Chair for the Change Advisory Board and emergency Change Advisory Board.
  • Conducts reviews/audits for completed change requests to ensure that objectives have been met and investigates any unsuccessful changes.
  • Collaborates with all IT departments so they can create routine change requests to minimize the number of changes that go the Change Management Committee.
  • Generates regular reports regarding change requests including number approved, number completed, and number rejected, based on types and categories.
  • Ensures departments are in compliance with the change management process and if necessary, communicates with respective department head regarding non-compliance.
  • Performs additional duties as assigned.

General supervision from assigned supervisor.

Direct supervision of assigned staff.

Required Education:
Bachelor’s Degree in CIS, CS, IT or a closely related field from an accredited university or other Bachelor’s degree with 4 years of IT experience.

Preferred Education:
None.

Licenses/Certifications:
Preferred: ITIL V4 Foundation

Required Experience:
Three (3) years of IT related experience including resolving incidents, fulfilling service requests, and working with Change Management Processes and/or Application/Systems Development.

Preferred Experience:
None.

Equipment:
Use of standard office equipment.

Working Conditions:
Needs to be able to successfully perform all required duties. May be required to work evenings and/or weekends. Occasional travel will be required.

Other:
Must have strong organizational skills and a high level of problem solving skills. Ability to master new technology and applications. Must be able to multitask and manage projects concurrently. Ability to build strong working relationships with all Support and Service Delivery teams. Detail-oriented with the ability to follow processes and procedures. Must possess excellent communication (written and verbal) and organizational skills and have a great level of attention to detail. Must have a process oriented approach.
