Job Description:

Clark University's Division of Student Success office seeks to fill the position of Student Success Administrator. This position will report to the Assistant Dean of Students, and will support the administrative needs of their unit; will serve as the initial contact person for faculty, staff, and parents who have questions and, whenever possible, resolve problems; schedule meetings; assist with search committees; manage the Dean of Student Success calendar; oversee operational support including ordering supplies, communicating to external parties, and updating the units' websites and other relevant communications. Additionally, this person will assist with budget management, allocation and processing purchase orders (SmartBuyPlus), and data entry.

Major Responsibilities:

  • Serve as the point of contact for students, faculty, staff and other constituencies wishing to interact with or seeking time with the Dean of Student Success or other members of this team
  • Provide confidential administrative support for the Dean of Student Success including maintenance of schedules/calendars, recruitment arrangements, screening and handling telephone communications, greeting and directing visitors and dealing with administrative issues and inquiries as appropriate
  • Provide high-level support for the administrative needs for units in the portfolio of the Dean of Student Success Division.
  • Respond to inquiries in the absence of the Dean of Student Success
  • Update the units' websites and other relevant communications, as needed;
  • Assist with budget management, allocation and processing purchase orders (SmartBuyPlus), including operating funds
  • Assist with maintenance of student records (Banner) and advising notes (Simplicity)
  • Schedule rooms and assist with event planning for units in the portfolio of the Dean of Student Success Division
  • Serve as an information source to faculty, staff, students and the general public; answer questions provide information and resolve routine problems regarding operations and services
  • Plan and implement key events to support divisional work
  • Take and type notes of committee and/or staff meetings when required
  • Compose, type, and prepare routine correspondence, reports, and memoranda for administrator/ staff member as required
  • May be required to operate advanced office equipment, including software necessary for desktop publishing complex spreadsheet design and complex graphics
  • Collect and manage select data sets to assist with retention and assessment purposes;
  • Other duties as assigned, depending on the needs of the Division of Student Success
  • Prior experience working with and contributing to a diverse workplace with the ability to interact effectively with a broad range of constituents on campus
  • Stay current with knowledge and practices that will improve your work and that of the DSS

 

Participate in the Growth and Development of the Division and Clark University:

  • Support the on-boarding process for students
  • Support key retention and student success initiatives
  • Support key initiatives and experiences within Student Success and the University, such as opening weekend, orientation, commencement, family weekend, traditional events, career fairs, involvement fairs, etc.
  • Serve as a responsible committee representative as requested
  • Attend necessary meetings and inform staff regarding relevant information
  • Promote efficiency and courtesy throughout the University community and ensure that it is consistent with Student Success" mission and values
  • Remain cognizant of the University's mission and identity, the constant promotion of diversity, equity, and inclusion, and the importance of student voices
  • Other duties as assigned that are within the best interest of the division

Requirements:

Associates Degree, or Bachelor's degree, preferred.

  • Three to five years of administrative experience that includes responding to a variety of concerns and issues from various levels of an organization preferably in an academic setting or an equivalent combination of education and/or experience; experience in providing student support preferred.
  • Demonstrated ability to create and maintain an inclusive, supportive environment for underrepresented students.
  • Strong customer service experience; proven organizational skills and attention to detail.
  • Proven ability to maintain confidential information.
  • Experience managing budgets and some knowledge of accounting principles and bookkeeping procedures and applications.
  • Prior experience with database related software and student information systems.
