The Watson College of Education Office of Academic Affairs, Program Support, and Student Success is committed to supporting the College’s mission to develop knowledgeable and proficient education professionals dedicated to improving schools and society. Academic Affairs, Program Support, and Student Success ( APS ) consists of four separate but integrated units: Assessment, Accreditation and Data Operations ( AADO ); Educational Technology ( ETU ); Recruitment; and Student Advising. Our teams meet the needs of the WCE faculty, staff, and public-school partners by facilitating interactions, providing informational resources, supporting academic program functions, and implementing processes to navigate institutional policies and procedures. APS serves both graduate and undergraduate students. Students’ needs are met through assistance with admissions, academic advising, scholarships, and navigating the complex institutional and professional structures associated with education broadly.

Brief Summary of Work for this Position

The Administrative Associate for the Academic Affairs, Program Support, and Student Success ( APS ) offices in the Watson College of Education is responsible for the coordination and completion of processes and procedures related to the business operations across four diverse units. This person will be the singular point person across the units within APS : Assessment, Accreditation, and Data Operations ( AADO ); Educational Technology Unit ( ETU ); Recruitment and Enrollment; and Student Advising (SA). Specifically, this individual will independently coordinate and direct office support activities, developing new unit administrative processes and procedures as needed; apply knowledge of programs and policies to meet the needs of diverse staff and students; administer budgets across units and for the Office of APS ; plan and support events involving faculty, staff, students, and the general public and ensuring inclusive practices to support diverse representation at all events; use and support of a variety of software to meet needs across units; respond to inquiries and serve as a resource to staff and students; prepare reports to support decision making across and within the units; and attend to other business processes and operational procedures critical for ensuring the success of our programs and our students. Additionally, this position will supervise graduate assistants, undergraduate work assistant students, and SHRA temporary support.

These processes and procedures include, but are not limited to:
· Maintain academic catalogue and webpage for APS .
· Process travel requests and reimbursements, independent contractors, and journal entries.
· Purchase materials and equipment.
· Support personnel actions including searches, position updates, and annual appraisals.
· Apply knowledge of programs and campus units to process, organize, and direct forms associated with subwaiver, faculty contracts, student performance, matriculation, accreditation, and other APS items as needed.
· Maintain confidential records, files and databases including personnel files.
· Support grant work from proposal submission through grant funding and implementation.
· Resolve faculty, staff, and student problems using extensive knowledge of programs, WCE procedures and policies, technology resources, and processes associated with admissions, scholarships, recruitment, student matriculation, and assessment cycles.
· Coordinate meetings and activities of the Appeals Committee, ETU, SA, AADO, Enrollment Task Force, Assessment and Accreditation Operations Task Force, and other APS operational structures.

Minimum Education and Experience Requirements

High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Preferred education, professional skills and experience

Associate degree in business administration, or a related discipline and one year of progressively responsible administrative/office management experience; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience
All degrees must be received from appropriately accredited institutions
