Summary:

The VCU School of Medicine, Office of Faculty Affairs invites applicants to apply to the position of Executive Assistant to the Vice Dean/Senior Associate Dean for Faculty Affairs. The primary responsibilities are to provide exceptional executive level organizational and administrative support through a wide range of complex and highly confidential requests that require discretion and independent judgment. This pivotal position serves as a communication point for the Vice Dean, managing calendars, coordinating meetings with faculty and senior leadership across the University and VCU Health System and providing ongoing analysis of administrative operational issues with recommendation of appropriate solutions. This position will also independently manage multiple tasks on a daily basis in a fast-paced environment, ensuring that the Vice Dean is prepared in advance for meetings, presentations and ongoing programs.

Primary Purpose & Responsibilities:
  • Organize and coordinate the efforts of the Office of Faculty Affairs with functions of other academic
    Units and School of Medicine departments to accomplish program goals and objectives
  • Utilize independent judgement to manage projects and communication; reports progress and issues to the Vice Dean; acts proactively to resolve potential issues when appropriate.
  • Act as the primary communication point for recruitment of senior leadership positions within the School of Medicine; coordinate on and off campus interviews both in person and virtual settings
  • Anticipate the needs of the Vice Dean including scheduling meetings, coordinating accurate and timely communication
  • Prioritizes and manages multiple projects/issues and be responsible for successful follow-through.
  • Provide intermittent logistical support to the Associate Dean for Faculty Development and staff for programs, courses and meetings when requested; provides support to the Director, Faculty Affairs for communication to School of Medicine Faculty members when appropriate.
Required Qualifications:
  • Minimum of 5 years experience as a senior level administrative assistant providing support to organizational leadership
  • Strong computer skills including Microsoft Office Suite, Word, Excel, PowerPoint & Google apps
  • Poised individual with excellent oral, written and interpersonal communication skills. Proficient editing skills. Competent in the art of public relations
  • Excellent problem solving and decision-making skills; Must be able to work independently and maintain confidentiality
  • Ability to deal professionally with ambiguity in a fast paced, rapid change environment
  • Ability to multitask, be resourceful and creative, and have the ability to show individual initiative
  • Desire to work in a diverse, team-based environment.
  • Demonstrated commitment to fostering diversity and inclusion in past experiences or a commitment to do so as a staff member at VCU.
Preferred Qualifications:
  • 7 to 10 years experience as a senior level administrative assistant providing support to organizational leadership.
  • Excellent computer skill including Microsoft Office Suite, Word, Excel, PowerPoint & Google apps
  • Bachelors degree in communication, business, management or other related area
  • Experience in higher education, academic medical center or large healthcare organization
