Job Description

As part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University’s Ancilla College seeks applicants for an Executive Assistant to the Chancellor. Working closely with the Chancellor, the Executive Assistant promotes Marian University’s Catholic Franciscan mission and identity by completing a variety of administrative and coordination duties including, but not limited to, those outlined below. The incumbent will serve as the primary staff member supporting the work of the Chancellor, assisting with the Chancellor’s calendar, preparing communications (i.e. letters & emails), providing support for and during the Chancellor’s travel, working with the Chancellor on presentations, reports and events and will also serve as the assistant secretary for Board of Visitors and Leadership Team meetings.

Essential Duties and Responsibilities:
  • Actively engages the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, promoting unity in diversity, and integrating the Catholic Franciscan Intellectual traditions in programs and services.
  • Staff the Office of the Chancellor, welcoming visitors, answering telephones, coordinating communication and correspondence, and maintaining the professionalism of the office
  • Manage Chancellor’s office budget, including processing expenses and payment of expenses
  • Organize and coordinate internal and external meetings and events
  • Work with other MUAC offices to maintain timely communications (i.e. emails, calls, letters) while ensuring the Chancellor is informed of communications requiring timely response, to include assistance in the preparation of communications
  • Assist with travel arrangements to meetings, events, etc.
  • Accomplish general office responsibilities, including communication, answering phones, managing office mail, greeting guests, ordering office supplies, updating office files
  • Serve as assistant secretary for Board of Visitors and Leadership Team meetings, and support preparation of agendas, minutes or notes of said meetings
  • Serve as coordinator for Board of Visitors and Leadership Team meetings to include preparation of meeting materials, agendas, supportive technology, refreshments, etc.
  • Support Board of Visitor committee assignments and future MUAC stakeholder committees
  • Maintain Board of Visitor compliance documents and prepare meetings minutes / notes
  • Draft an array of correspondence, background materials, reports, data, etc.
  • Review forms requesting the Chancellor’s authorization
  • Other duties as assigned

Required Qualifications

Required Qualifications:
  • Bachelor’s degree and relevant experience
  • Knowledge of office administration preferably in a college or university setting
  • Strong writing (in English) and verbal communication skills
  • Proficiency with Word, Excel, PowerPoint and working knowledge of other programs in the Microsoft Office suite
  • Minimum of two years of experience with confidential materials; execution of a confidentiality agreement required
  • High level of personal integrity
  • Professional demeanor
  • Strong ability to collaborate and work as a team player with both internal and external stakeholders of the University
  • Ability to take initiative and implement responsibilities with minimal direction/supervision; ability to seek information/learn when new knowledge or skills are required
  • Innovative and creative problem-solver
  • Evidence of success working with diverse audiences and people
  • Strong organizational skills
Work Schedule:
This position is a part-time position that requires on-site support from the hours of 8:00 a.m. to 12:30 p.m. This position will require work outside of on-site office hours on occasion for Board of Visitor meetings and stakeholder events.
