Job Description

Reporting to the Vice President for Enterprise Administration and Business Services, the Director of Auxiliary Services will provide general oversight, management, development, and administrative planning for mail services (both residential and departmental mail) and transportation services (parking services, air transportation, alternative transportation and fleet services). This role also develops and implements operational improvements designed to enhance support for short- and long-term strategic goals at all Virginia Tech campuses. Provides supervision and oversight for direct reports and subordinate staff; evaluates job performance and develops professional development plans for staff. Provides leadership and training for continual improvement in all areas; ensures staff receives appropriate training/professional development and maintains up-to-date knowledge as resources are available. Ensures that these areas operate in compliance with university policies and procedures as well as federal and state statutes and regulations. Manages and monitors university contractual agreements for services provided by contract vendors. Works with the campus community, area stakeholders/partners, and third-party contractors to ensure customer satisfaction in areas of responsibility. Gives presentations and meets with campus constituents as needed to provide information about services offered. Monitors and manages fiscal and budgetary activities for areas of responsibility; performs financial analyses; understands and coordinates long-term financial planning; forecasts and controls expenditures, revises operational priorities, and approves purchases; prepares and oversees records, reconciliations, and financial reports; and prepares reports for university administration as needed. Serves as university liaison in meetings, committees (including internal governance), and other related groups, thus ensuring open and effective communication with campus constituents and third-party contractors. Demonstrates excellent interpersonal and communication skills, representing the university with students, parents, faculty, staff, third-party contractors, and the local community. Responds to common inquiries from internal or external customers, regulatory agencies, or members of the business community. Performs special projects as needed.

Required Qualifications

A Bachelor’s degree and/or related field or a combination of education, training, and work experience at a level equating to a degree. The successful candidate will have extensive knowledge of higher education auxiliary business operations, financial principles, and experience managing higher education operations. Demonstrated knowledge of supervisory practices and ability to administer programs through a professional staff; considerable knowledge of broad managerial or business training, including a very good understanding of financial information; ability to read, analyze, interpret and take action on contractual agreements and regulations, financial reports, and industry best practices; ability to develop, implement and interpret policies and procedures; demonstrated experience developing and giving presentations. Demonstrated ability to work in a fast-paced environment; Demonstrated ability to adapt to and facilitate change; proven ability to work independently or as part of a team. Focused on continual improvement for areas of responsibility.

Preferred Qualifications

A Master’s degree in Business Administration or relevant experience equivalent to a Master’s Degree is preferred. Preference given for progressive years of senior management experience in a major administrative organization and demonstrated ability to supervise a large staff. Preference is given for professional credentialing such, as but not limited to Certified Administrator of Public Parking or Mail System Management Association Certifications. Experience overseeing auxiliary operations within a higher education environment, such as mail and transportation services. Demonstrated knowledge of financial analysis tools, benchmarking practices, and trend monitoring. Working knowledge of Banner, Microsoft Office suite, package tracking software, or T2 Parking Management software. Experience with general procurement contractual practices. Knowledge of or experience with automated financial accounting systems and Microsoft Office software.
