About the Position:

Extension and International Programs (EIP) collaborates with University departments and colleges on unique programs for students from the community and around the world. We are seeking an exceptional individual to join our team as the Scheduling Coordinator (Administrative Support Coordinator II) to support Extension and International Programs. The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under the general direction of the Academic Operations Analyst and/or the EIP Senior Director, the Scheduling Coordinator (Administrative Support Coordinator II) is responsible for providing high-level office support. Plans, initiates, executes, and coordinates complex projects that have broad, visible impact. Evaluates and recommends operational and procedural matters. Uses knowledge of specialized policies and procedures to complete assignments. Participates in the execution of all of EIP's class scheduling and for the University's summer and winter sessions, which requires knowledge of the intricacies of various course offering types. Inputs, audits and updates class schedule data in CMS-Peoplesoft, including extension credit, CEU, non-credit, Cal State Online, self-support residence credit, and state support credit (summer).

Secures classrooms and computer labs for all of EIP's year-round classes and events. During summer and winter sessions, allocates space and reports all general-use classrooms for university classes, EIP classes, student group activities, specialized learning programs, orientations, study sessions, academic department meetings, and special group meetings. Creates and maintains room assignment data in CMS, C2K and 25Live. Serves as the primary contact for all EIP and University faculty, staff and administrators who work with EIP to schedule and house all self-support classes and events. Provides technical support for academic departments related to the policies and procedures associated with the creation and maintenance of the summer session and nter Session class schedules. Supports quality control for class schedule, enrollment and policy compliance. Coordinates projects with Academic Affairs and the CSUF Scheduling Office such as off-line classrooms or other issues affecting EIP summer and winter session room availability. Other duties as assigned.


Essential Qualifications:
High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects.

CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.


Preferred Qualifications:
Bachelor’s degree from an accredited college or university or the equivalent. Experience using database systems, such as PeopleSoft, for entering, viewing, auditing and retrieving data. Experience scheduling classes. Ability to handle fluctuating demands and willingness to proactively learn about processes to better respond to inquiries and perform job duties. Ability to work successfully independently and as a team member. Comprehensive knowledge of CSUF infrastructure, policies and procedures.
