Summary/Objective

The Faculty Affairs Coordinator is the staff member responsible for supporting full-time and part-time faculty affairs in the School of Public Affairs. Working with the Director of Graduate and Faculty Affairs, the Senior Associate Dean for Academic Affairs, and the Dean, the position processes full-time faculty actions including appointments, reappointments, promotions, tenure cases, leaves, faculty research awards, searches, and faculty course loads. The position catalogs appointment memos for program directors. The position processes elections for SPA representatives to the Faculty Senate committees and SPA committees. The position coordinates academic management reports generated internally and through university planning and research, including providing technical support to faculty for the Elements.
This position processes adjunct appointments and re-appointments, maintains an adjunct database, supports adjunct orientation, and manages the adjunct office and list serv.
This position requires minimal supervision.
The successful candidate will be an individual who can work independently as well as with a broad set of stakeholders, meet internal and external deadlines, determine and execute priorities, and maintain a high degree of professionalism and confidentiality.

Essential Functions

  1. Faculty hiring and reappointment: Manage full-time and part-time faculty affairs and faculty appointments and reappointments, including compiling (re)appointment packages and aligning to Dean of Faculty processes. Coordinate faculty searches with the department chairs, staff assistants, and search committees to ensure compliance with affirmative action and equal opportunity regulations.
  2. Faculty merit review, promotion, and leaves: Manage tenure and promotion processes, faculty awards, and leaves for full-time faculty. Create management analysis tools related to electronic document management for files for action, course evaluations, and other measures as determined to be appropriate.
  3. Faculty databases and courseloads: Monitor SPA faculty teaching loads and course evaluations using university information systems such as SharePoint or Business Intelligence. Send out adjunct faculty welcome/assignment letters each semester.
  4. Communications: Provide support for faculty related to campus systems, deadlines, and SPA and AU processes. Respond to inquiries from teaching units and adjunct faculty members on salaries and payments.
  5. Other duties as assigned: Manage elections for SPA representatives to the Faculty Senate committees and SPA committees using Qualtrics or a similar program. Organize adjunct orientation.

Required Education and Experience
  • Bachelor's degree or equivalent.
  • At least 3 years of administrative support experience in an academic environment.
Additional Eligibility Qualifications
  • Demonstrated computer proficiency, including expertise in Microsoft Word, Excel, Access, PowerPoint, Outlook, and SharePoint.
  • Time management skills, detail oriented, and ability to multitask. Strong organization and planning skills.
  • Ability to manage multiple priorities in a fast-paced, diverse environment.
  • Highly developed interpersonal skills. Excellent communication skills.
