Basic Function:
Under the direction of the Assistant Director of Undergraduate Admission, the Operations Coordinator is responsible for operational and systems coordination and support to the Office of Undergraduate Admission

Representative Duties:
  • Coordinates student record database and document imaging system ensuring the accuracy, integrity and completeness of all data maintained and inputted; prepares and maintains a variety of records and reports; provides and generates statistical research, information, and reports via the SLATE CRM system. E
  • Represents the Undergraduate Admission office at meetings and campus user groups regarding data management and storing of records.
  • Processes and imports Undergraduate student applications, ensuring integrity of all student data provided through student applications,
    transcripts, test scores, financial documents, and other student record information. E
  • Collaborates in the technological advancement of Undergraduate Admission including operations efficiencies, automation, and quality control monitoring. E
  • Build and import new student information from various inquiry sources. E
  • Coordinates the maintenance of student files and storage, movement of files for enrolling students, and arrangement for the proper disposal of obsolete files. E
  • Responsible for data migration between admission CRM and campus SIS. E
  • Creating and maintaining reports and email communication for admission team. E
  • Coordinates email notification and mass mailings for decision distribution. E
  • Overall quality control and data integrity of CRM. E
  • Provide front office support as needed, such as answering phones and greeting visitors, scheduling a variety of activities including campus tours, counselor appointments, and admission event registration; respond to email correspondence. E
  • Participate in various admission-related events, outreach projects and recruitment activities. E
  • Reconcile departmental purchases/invoices. E
  • Perform related duties as assigned.

Knowledge Of:
  • Database systems (Ellucian Colleague and Technolutions Slate preferred)
  • Operation of a variety of office equipment, such as computers and related software, printers, faxes and copy machines
  • Modern office practices, procedures and equipment
  • Interpersonal and customer service skills using tact, patience and courtesy
  • Oral and written communication skills; correct English usage, grammar, spelling, punctuation and vocabulary
  • Telephone techniques and etiquette


Ability To:
  • Perform data entry with minimal error rate
  • Operate a computer terminal to enter data, maintain records and generate reports
  • Work with and protect confidential information and exercise judgment with sensitive data
  • Provide operational/administrative support services for the office of admission
  • Organize and handle multiple tasks simultaneously
  • Communicate effectively both orally and in writing
  • Learn University mission, goals, and objectives
  • Provide fundamental information regarding the University to prospective students
  • Work independently with little direction
  • Learn, interpret, apply and explain rules, regulations, policies and procedures
  • Understand and follow oral and written directions


Minimum Qualifications:
Any combination equivalent to:
A Bachelor’s Degree required and one year of experience within higher education setting or . responsible data entry experience involving system and operational knowledge.

Preferred Qualifications:
Experience in student service and/or admission office and experience working with a database system, CRM, or SIS and document imaging.
