Position Primary Purpose:
Virginia Commonwealth University School of Dentistry is seeking applicants for a full-time Executive Administrative
Assistant and Office Manager to provide administrative support to the Department of Dental Public Health and Policy
and Office of Diversity, Equity, and Inclusion at the School of Dentistry. This position supports the Department Chair,
Director of Diversity Equity and Inclusion, and the Director of Community and Collaborative Partnerships in the
Department of Dental Public Health and Policy in planning, organizing, and carrying out the tasks integral to the
support of the departmental mission.
Responsibilities:
- General administrative support to the department team and Office of Diversity, Equity and Inclusion
- Draft correspondence and presentations
- Record, transcribe, and distribute meeting minutes
- Coordinate in-person and virtual events including meetings, student and faculty orientation, graduation activities, etc.
- Receive and interact with potential candidates for training programs
- Coordinate office support services including purchasing and facilities management, compliance, and records management
- Manage departmental budget and maintain reconciliation of financial information, and funds collection
- Coordinate programming, education, student, alumni, workshops, meetings, etc. including speakers, agendas, etc.
- Develop, plan and arrange meetings, workshops, events, etc. designed to exchange information, promote research objectives, and build internal and external relationships within the VCU School of Dentistry
- Ensure that event details including communication, venues, presenters, travel arrangements, materials, refreshments, and technology are arranged and completed in an appropriate and timely manner
- Assist in managing program/project curriculum, seminars, presentations, workshops, learning experiences, chat rooms, websites, social networking, etc. based on goals/objectives
- Develop coordinated, consistent marketing and brand messages
- Incorporate social media and networking into program/project aspects as appropriate
- Bachelor's degree or equivalent training and experience
- Excellent oral and written communication skills
- Superior interpersonal and decision-making skills
- Ability to work independently and without direct supervision
- Proficiency in the use of computers and technology
- Ability to develop and maintain electronic databases
- Ability to manage budgetary responsibilities
- Strong accuracy and attention to detail
- Demonstrated experience working in and fostering a diverse faculty, staff and student environment or commitment to do so as a staff member at VCU
- Relevant experience working in a university academic or research environment
- Knowledge of university systems, policies, and procedures
- Knowledge of VCU procurement and timekeeping
- Participation in undergraduate diversity pathways organizations or summer research opportunity programs
- Experience with diversity recruitment, grant writing, student mentoring, and advising
