Carnegie Mellon University is searching for an Administrative Assistant to join its dynamic team. Engaging with students as they interact with our department, you will serve as a primary point of contact for our first floor office. In your work, you will work closely with SLICE colleagues overseeing student activities, fraternity and sorority life, leadership development, civic engagement, and operations to advance our forward-thinking mission to facilitate students’ development of self and community as active global citizens. Core Responsibilities will include:
  • Office reception functions including, but not limited to, answering and directing incoming phone calls, greeting all walk-in guests, responding to and routing emails sent to three office inboxes, and distributing mail daily.

  • Assist SLICE staff by serving as primary administrative support to professional staff in the department outside of the leadership team. Implement various efforts related to scheduling, travel coordination, and reservations.

  • Execution of day to day work in support of the student organization experience including but not limited to key card access, space reservations, work orders, van reservation process, and triage of student organization finance paperwork.

  • Oversight of physical first floor SLICE office orderliness and cleanliness including the Nexus of Civic Engagement, SLICE general reception area, and shared break room.

  • Daily support for the Nexus of Civic Engagement including but not limited to reservations form triage, room set up, calendaring, tech support, and walk-throughs of the physical space.

  • Co-supervision of all student staff working from the first floor front desk.

  • Complete tasks related to SLICE communication to campus partners, students, and external audiences including maintenance of the website, distribution of posters, and organization of content for newsletters.

Qualifications:
  • High School Diploma or GED required; Bachelor’s Degree preferred.

  • Three years of related experience, preferably in a higher education or high-volume setting

  • Or a combination of education and relevant experience from which comparable knowledge is demonstrated
