Safety and Risk Services' (SRS) mission is to collaborate with all campus constituents (students, staff, faculty and visitors) and the surrounding community, to safeguard life and health and mitigate threats to the University's core mission of academic excellence, research, and public service. Safety and Risk Services comprises Emergency Management and Continuity, Environmental Health and Safety, Campus Mapping, Risk & Insurance, and the University of Oregon Police Department. Position Summary
This Business Services Coordinator position is responsible for coordinating the purchasing, receiving, accounting, and general business needs in Safety and Risk Services. The Business Services Coordinator ensures proper authorizations for purchasing and other expenses are received and recorded, maintains a complete purchase database, and organizes hard copy files per UO record retention policies. This position works with vendors, FASS, and SRS staff to ensure those correct items are timely received and paid.

This position is responsible for office supplies by taking periodic inventory, establishing reorder points, ordering supplies, and stocking and organizing the supply room. The Business Services Coordinator is the main point of contact for SRS with Facilities Services, FASS, Mail Services, IT Help, and Phone/Network Services. This position investigates, generates, and tracks requests for service. The position also maintains a fixed asset inventory database and troubleshoots office equipment issues. The Business Services Coordinator provides reception for the Franklin office, responds to general SRS inquiries and requests, or forwards to appropriate staff. This position requires a broad knowledge of SRS programs and personnel.

Interactions/contacts occur daily with the campus community in the course of performing work and responding to emergencies. The position works as a member of a team while frequently performing tasks independently. Decisions may be made about the best method and materials necessary to perform a particular task. They may also include setting priorities, assessing customer needs, and responding to those needs. Work is reviewed regularly by the supervisor to ensure it is performed efficiently, safely, and meets both expectations and applicable requirements. A performance appraisal is conducted annually.
Minimum Requirements
1) Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR
An Associate's degree in Office Occupations or Office Technology; OR
Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

2) College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

    Preferred Qualifications
  • Accounts payable experience.
  • Knowledge of and experience with UO Accounts Payable policies and procedures.
  • Extensive computer experience, including Microsoft Office (Excel, Word and Outlook).
  • Experience with an enterprise-wide accounting systems, such as Banner Ellucian.
