Job Summary

The Admissions and Project Coordinator II oversees recruitment, marketing, application processing, enrollment, database management, orientation, and communications and social media for all of the degree and certificate programs in the Department of Creative Arts Therapies and the Department of Counseling and Family Therapy in the College of Nursing and Health Professions of Drexel University. In addition, the coordinator assists with all departmental administrative support tasks as requested by the department chairs and program manager.

Essential Functions

ADMISSIONS-RELATED DOCUMENTATION:
  • Updating department admissions coordinator manuals on an annual basis
  • Annually and continually, evaluate departments admissions and recruitment data management processes and provide recommendations on efficiencies
APPLICATION PROCESSING:
  • Act as a liaison between applicants, Drexel Enrollment Management (EMSS), Drexel University Online (DUO), Drexel Graduate College, and academic program directors/faculty.
  • Maintain accurate tracking of inquiries to the department and provide inquirer information to Graduate College for events run by the Graduate College.
  • Develop and maintain tracking system for all applicants and confirmed and deferred students, and provide regular admission reports during the application cycle. Reconcile to other enrollment reports as needed.
  • Coordinate and oversee interviews and auditions for applicants
  • Process decisions for applicants
  • Annually and continually, evaluate admissions and recruitment strategies for each program, and with the program directors and department chairs, develop and implement improvements.
COMMUNICATION AND SOCIAL MEDIA
  • Send regular email updates to prospective students, applicants and enrolled students regarding events, admissions processes, and enrollment/orientation procedures
  • Work with college marketing department to maintain departmental program and LinkedIn web-pages by accepting new members to the pages, posting job announcements, departmental and related events, and news about faculty, supervisors, students, and alumni
  • Promote departmental activity/events/achievements in the CNHP Daily Dose and other outlets as deemed appropriate
  • Other administrative duties as needed by the department
ENROLLMENT AND ORIENTATION:
  • Assist with new student on-boarding processes, and pre-orientation communications.
  • Organize and oversee departmental orientation and re-orientation events for new and returning students
  • Conduct annual admissions/orientation survey of new students
  • Send thank-you letters to undergraduate instructors who provided letters of recommendation for newly enrolled graduate students
MARKETING & RECRUITMENT:
  • Provide program information to prospective students via email, phone and in person inquiries
  • Revise, update and create recruitment materials as needed, including editing.
  • Coordinate and present/attend on-campus recruitment events (e.g., Visit Days, Open Houses) and off-campus recruitment events (e.g., graduate fairs, professional conferences).
  • Help with database management as requested
  • Follow up communications following live recruitment events.
  • Handle logistics for exhibiting and advertising at regional and national professional conferences, including submitting registration/ad contracts, sending ads, and preparing and shipping materials
  • Interface with CNHP Marketing and Communications department for development of advertisements and updates on the program webpages.
Required Qualifications
  • Bachelor’s Degree or Equivalent
  • 2+ years of relevant experience
Preferred Qualifications
  • Excellent oral and written communication skills, including public speaking.
  • Proficiency in Microsoft Office Suite, Google Drive, Zoom, and experience with Slate CRM
  • Ability to manage multiple projects simultaneously
  • Attention to detail
  • Excellent organizational, database and time management skills
  • Direct experience with and appreciation for the value of the arts.
  • An interest in promoting mental health education.
  • Commitment to advancing equity and inclusion in all aspects of one’s work.
