Position Purpose

In collaboration with the office administrative team, provide a variety of administrative support services to mental health clinicians to increase office efficiency, maintain quality client care, and expedite and coordinate the delivery of clinical services. The key component of this position is schedule coordination- answering phones, scheduling client appointments, and resolving scheduling conflicts.


Required Qualifications - Education and Yrs Exp

1-2 years of experience

Required Qualifications - Skills, Knowledge and Abilities

Experience working effectively within a complex organization, preferably in a medical or counseling office setting.
Experience using EMR to schedule appointments.
Experience working with and appropriately administering confidential and sensitive information and records, preferably with HIPAA -protected.
Demonstrated ability to manage a range of administrative responsibilities.
Commitment to diversity and to serving the needs of a diverse community.

Preferred Qualifications

Associate degree or the equivalent combination of education and experience.
Strong organizational and task prioritization skills.
Ability to work effectively in a busy student environment.

Provides administrative support to the Counseling Center office.

Schedules client appointments and resolves scheduling conflicts.

Notifies clients of changes/cancellations and prioritizes urgency of appointments for rescheduling.

Handles a variety of client calls assuring emergency situations are appropriately forwarded to the counselor on-call or designee.

Manages all calls/email correspondence with professionalism and a high degree of sensitivity due to the diverse needs of the student/client population.

Regularly handles confidential and sensitive information and exercises discretion concerning its disposition. Communicates sensitive patient information to staff clinicians.
