Position Summary:
This position is responsible for monitoring controls which impact the administration of Title IV Federal Student Financial Assistance programs and ensuring compliance. Controls include, but are not limited to: Reviewing individual student financial aid records; records processed through the Common Origination and Disbursement system; Return to Title IV Funds calculations; enrollment status reporting to the Clearing House; resolution of ISIR C Codes; award calculations; timeliness of resolving credit balances on the student ledger; Pell Grant and Federal Direct Loan reconciliations between the Common Origination and Disbursement system and Great Plains; the student exit interview process; student financial aid eligibility. This position is responsible for interpreting regulations and writing compliance memos, providing subject matter expertise on the issues related to Title IV regulation and University processes, training team members and maintaining training materials. This position is also responsible for assistance with documentation and implementation of new processes. The Quality Assurance Specialist is responsible for assisting with reconciliations and managing the various audits for which the student and financial services team participates.

Essential Functions :
  • Monitors internal controls as it pertains to the administration of Title IV Federal Student Assistance.
  • Performs reviews of processes and procedures to ensure compliance with federal, state, and organizational policies and regulations.
  • Interprets regulations and writes compliance memos.
  • Reconciles G5 and Title IV funds posted to student accounts.
  • Collaborates and facilitates the coordination, preparation, and organization of data and records for annual compliance audits and interim audits as needed.
  • Identifies team member training needs, creates and maintains training materials including the policy and procedures manuals (PPM) and desktop guides, and provides training to other SFO team members.
  • Assists with the on boarding for new team members within the student and financial operations team.
  • Keeps abreast of regulatory changes and best practices.
  • Maintains high standards of confidentiality of data and records.
  • Develops and implements short and long-term strategies to improve student information systems and platforms.
  • Process SAP appeals – collaborates with AFAs and SAP committee.
  • Collaborates with leaders across the university to understand student records issues and impact.
  • Provides support when any team has a staff outage.
  • Reasonable and consistence attendance to fulfill requirements of the position.

Requirements:
Education & Experience:

  • Bachelor's degree in relevant field preferred.
  • Three to five years of financial aid, advising, training, auditing, career services, military benefits or accounting experience required.
  • Knowledge of internal policies and procedures required.
  • Current knowledge of financial aid programs and regulations required.
  • Regulatory analysis and interpretation experience preferred.
  • Experience with data processing and automated records maintenance systems preferred.
  • Experience in higher education required.
  • Experience working in a technology-driven enterprise preferred.
  • All skills, abilities and education will be considered for minimum qualifications.
Competencies/Technical/Functional Skills:
  • Knowledge of available private, state, and federal financial aid programs.
  • Knowledge of academic and business workings of a higher education institution.
  • Knowledge of University policies and procedures.
  • Knowledge of EDExpress or PeopleSoft software.
  • Exceptional oral and written communication.
  • Skill in operating equipment, such as personal computer, fax, copier, phone system.
  • Skill in utilizing technology, including ability to navigate web sites, perform word processing, create spreadsheets, send e-mail and electronic messages.
  • Ability to manage projects as needed.
  • Ability to use and facilitate online communications using email and /or other technology-based communication media.
  • Ability to problem-solve.
  • Ability to maintain confidentiality.
  • Ability to provide financial aid services to students in an on-line environment.
  • Ability to prepare letters, reports, and business correspondence.
  • Excellent customer service skills.
  • Organized with good time management skills.
  • Highly organized and detail oriented.
  • Proficient with Microsoft Word and other applications in the Microsoft Office suite.
