The Program Assistant of Orientation and First Year Programs is responsible for working with the following programs: Week of Welcome ( WOW ), First Year Success Series ( FYSS ), Mentoring, Orientation.
Essential Duties and Responsibilities
Administrative Work (30%)
- Serve as a liaison to the office of undergraduate admissions
- Collaborate with appropriate office staff to coordinate support before, during and after events, including but not limited to on-site registration, communication, confirmation of university services and resources.
- Develop materials and techniques for training program staff in such areas as academic and self-efficacy, information literacy, financial literacy, physical and mental health and well-being, Huskie pride, cultural competence, sense of belonging, engagement, and interpersonal relationships.
- Along with Associate Director, manage day-to-day operations of the office, including serving as a proxy when the Director is unavailable.
- Assist with university assessment of first-year mentor programs and provide guidance for continuous improvement.
- Monitor logistical aspects (Excel database, communication distribution, etc.) of Student-Faculty Links and Transfer2Transfer Mentoring programs
- Assist with the submission of timely and informative reports regarding programmatic goals, trends, statistics and direction
- Remain abreast of university policies and procedures and ensures that they are implemented accurately and in a manner that best support orientation, transition, and retention efforts.
- Serve as a liaison to the Academic colleges, CHANCE, Honors, and the Academic Advising Center.
- Remain abreast of university policies and procedures and ensures that they are implemented accurately and in a manner that best support Week of Welcome programming
- Collaborate with appropriate University partners to update marketing materials and communications (printed, electronic, etc.) related to Week of Welcome.
- Assist with scheduling, assigning, reviewing and/or providing recommendations regarding professional and student work within Week of Welcome.
- Assist with hiring, training, supervising, and supporting all volunteers for Week of Welcome
Supervision, Staffing and Training (30%)
- Coordinate training and professional development for first-year student mentor programs coordinated through units included in the Student Experience Team (Student Affairs, Undergraduate Studies and Academic Diversity Equity and Inclusion).
- Assist with development and oversight of opportunities for orientation staff beyond the summer including supporting retention related efforts centrally and in the colleges.
- Responsible for hiring, training, supervising, and supporting any graduate student leader(s) within Orientation and First Year Programs.
Programming (20%)
- Responsible for coordinating first-year programs including the First-Year Success Series and other identified retention programs.
- Assist with the coordination of Week of Welcome, Pre-Orientation Programming, Family Orientation including managing all logistics, content, and communication.
Marketing (10%)
- Collaborate with appropriate University partners to update marketing materials (printed, electronic, etc.) related to orientation and first year programming.
Other Duties as Assigned (10%)
- Assist with other details related to orientation and first year programs as needed.
CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER
- Bachelor’s degree in relevant discipline, or equivalent experience
- A minimum of one year of project and/or strategic management experience in a public or private organization
- Demonstrated experience in developing professional work/action plans related to orientation and/or first year programming
- Demonstrated experience navigating and managing complex projects requiring engagement and consensus-building with multiple stakeholders
- Demonstrated understanding of principles of diversity, equity, inclusion and ability to translate concepts into actionable items that support prospective and first year students
Preferred Qualifications (Civil Service)
- Master’s degree in higher education, counseling, or closely related field preferred
- Experience with first-year programs on a college campus
- Experience planning and facilitating large-scale events
- Clear understanding of the needs of first-year and transfer students on a large, diverse, public university campus
- Attention to detail, interpersonal abilities, and independent critical thinking skills
- Excellent communication (speaking and written expression) skills
- Demonstrated knowledge of social media applications including Facebook, Twitter, YouTube, LinkedIn, Instagram, and emerging social media platforms
- Experience with PeopleSoft and Blackboard preferred.
- Experience with or fluency with the Spanish language preferred, but not required
