Event Coordinator



Position Summary:

The Event Coordinator will provide support to National University, regarding co-curricular, community relations, alumni, internal events, and University sponsored events including commencement. This role will work closely with National University stakeholders to ensure the University’s needs are met for cross-functional event initiatives onsite, virtually, and in the community. The position will be responsible for planning, coordinating, and supporting events in a wide range of departments including external relations, academics, operations, co-curricular activities, alumni, and community relations. The coordinator may need to research information for accommodations, venues, food service and other event related support with vendors. The Event Coordinator should have strong organization, communication and project management skills, and the ability to coordinate with internal departments and adhere to strict deadlines.

ESSENTIAL FUNCTIONS:
  • Manage and execute operational, logistics, and implementation activities for events with the highest level of professionalism and excellence in keeping with the University’s brand and reputation.
  • Support the execution of University events such as but not limited to: University Forum and celebrations, Academic Summits, Site Visits, Commencement, Community sponsored events, Alumni and Development Activities.
  • Work directly with cross-functional teams to organize and support University sponsored events.
  • Maintain inventory, secure quotes, and arrange production of collateral.
  • Work with third party vendors to arrange and execute events.
  • Facilitate promotion plans.
  • Track campaign and event progress, event revenue, and expenses.
  • Process and manage invoicing for internal and external events.
  • Maintain an annual calendar of events and implement a system that anticipates long-term planning needs.
  • Ensure internal events are coordinated with internal departments for facilities, security, IT and the safety Committee.
  • Assist in the creation and management of new events and community outreach.
  • Other duties as assigned.
  • Ability to be onsite at Spectrum for internal and external events.
KNOWLEDGE, SKILLS, AND ABILITIES:
  • Strong project management skills
  • Experience in event coordination.
  • Strong verbal and written communication skills.
  • Strong analytical and problem-solving skills and attention to accuracy.
  • Ability to multi-task and prioritize.
  • Ability to coordinate and collaborate at various levels throughout the University.
  • Proficient with Microsoft Word and other applications in the Microsoft Office suite
EDUCATION AND EXPERIENCE:
  • Bachelor's degree or equivalent experience required
  • Minimum of 1 year of event experience.
  • Experience in higher education or community relations preferred
  • All skills, abilities and education will be considered for minimum qualifications.
